Atlantic Bottling Company Office Administrator in Cedar Rapids, Iowa

Overview/Function: The Office Administrator plays a key role in the success of the branch with a variety of responsibilities to include administrative support and reception. Activities also include route settlement, inventory control and auditing processes. The role is the primary back-up to the Office Manager/Supervisor, helping to ensure branch operations run smoothly.

Major Responsibilities:

  • Follow route settlement standard operating procedures (SOP’s), performing cashiering and reconciliation tasks. Troubleshoot handheld settlement reconciliation issues.

  • Provide inventory support through cycle count, inventory reconciliation, check-in/out audits, and route settlement.

  • Assist with administrative and office support for the facility’s day-to-day operations.

  • Administrative responsibilities include routing incoming phone calls and greeting visitors.

  • Assist branch sales team with order transactions, daily logs, and unscheduled customer orders (aka hotshots), including order entry and invoicing.

  • Assist with internal office space (i.e. door keys, moves), ordering supplies, etc.

  • Management of document retention and destruction electronically and hard files.

  • Other duties as required.

Qualifications

Experience & Qualifications:

  • Minimum of high school diploma/GED with 1-2 years of previous administrative/office support experience.

  • Excellent customer service communication skills to interact with customers (Internal and External). Maintain professional demeanor and appearance which upholds Atlantic Bottling’s brand image.

  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint).

  • Positive, take-charge personality with excellent time management, strong organizational and communication skills.

  • Ability to maintain professional decorum and a high level of confidentiality.

  • Strong team-player with the ability to effectively work in a fast-paced, team-oriented environment.

  • Flexible with the ability to adapt to varying situations.

  • While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role. However there will be many situations in which the individual will be needed to work in the warehouse and around delivery vehicles and required to lift and/or move items up to 65 lbs. (Moving equipment and tools will be provided to reduce strains and injury.)

  • Standing, walking, twisting, grasping, reaching, pushing, pulling, bending, kneeling, sitting, stooping, crouching, crawling, and climbing will be required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

  • This requires the ability to lift files, open filing cabinets, and bend as needed. The ability to climb stairs is also needed.

  • Occasional minimal travel may be needed to our multiple locations.

  • To accomplish their tasks, the position will work in a warehouse environment in which the temperate is unregulated and dependent upon outdoor temperatures.

  • Work hours: Monday Friday 9am 6pm but are subject to change as needed. Some occasional weekend or off-shift work may be needed.
