Overview: We are seeking a highly organized and detail-oriented individual with knowledge of HVAC parts and components to join our team as a Service Administrator. As a Service Administrator, you will play a crucial role in ensuring the smooth operation of our HVAC Service department. This is an administrative position that requires excellent organizational skills and the ability to handle multiple tasks efficiently. Responsibilities: - Utilize Contractor Foreman and other software applications to manage documents and communicate effectively - Schedule appointments and manage the service calendar - Maintain and update maintenance records using computerized systems - Follow up with technicians to ensure all tasks and materials are included in the bill - Assist PM/Office manager in billing clients following completion of service - Actively engage with clients and potential new clients - Attend and participate in monthly staff meetings and company events - Contact new and existing clients to discuss needs - Identify prospective clients, lead generation, and conversion. - Answer questions regarding service plans - Negotiate prices, and terms, and prepare service agreements - Collaborate with colleagues in different departments - Maintain contact lists and follow up with clients to continue relationships -Provide exceptional customer service to clients Qualifications: - Previous experience in an office, administrative, or dispatch role is preferred - Knowledge of HVAC procedures and terminology - Strong organizational skills with the ability to prioritize tasks effectively - Proficient in data entry and computerized systems - Excellent phone etiquette and communication skills - Detail-oriented with a high level of accuracy in managing paperwork - Ability to work independently as well as part of a team Please note that all positions at our company are paid positions, including internships.
