Job Description:

This role will be is responsible for accomplishing multiple complex administrative tasks with minimal supervision. The ideal candidate will always exhibit excellent judgement in handling confidentiality and act with professionalism. The ideal candidate must also possess strong written and verbal communication, administrative, and organizational skills.

This position reports to the Division Vice President and General Manager.

Essential Functions:

  • Serve as the primary point of contact for internal and external communications directed to the VP/GM including responding to emails and relaying messages in a timely, clear, and accurate manner.

  • Organize and prepare for meetings, including setting agendas, compiling background information, taking meetings notes, and conducting follow-up on action items.

  • Maintain calendar, arrange meetings and appointments, and provide reminders.

  • Handle requests and inquiries appropriately and in a timely manner.

  • Plan and coordinate all business-related travel arrangements and prepare expense reports.

  • Assist in preparing, editing, and organizing documents, presentations, and reports.

  • Proven experience as an executive administrative assistant.

  • Excellent verbal and written communication skills.

  • Full comprehension of office management systems and procedures.

  • Strong organizational and time management skills with the ability to manage multiple tasks and projects at the same time.

  • Adapts easily to new situations and operates effectively in a fast-paced environment.

  • Able to work with multiple stakeholders at the same time.

  • Ability to maintain a high level of confidentiality and discretion.

  • Other duties as assigned.

    Qualifications:

  • Requires advanced job knowledge/skills. Typically obtained through a combination of education and experience.

  • Requires a High School Diploma or equivalent and a minimum of ten (10) years of prior Executive Administration experience.

  • 2 years post-Secondary/associate degree with a minimum of six (6) years of prior Executive Administration experience.

  • Must be a US Citizen.
