**DISTINGUISHING CHARACTERISTICS

Administrative Secretary and Business office manager performs complex and sensitive clerical, secretarial, office management, and administrative duties. Interreactions with parents with wide range of ethnic, cultural, and socio-economic backgrounds, including but not limited to Armenian and Russian backgrounds. Furthermore, collaboration with school leadership is a crucial aspect, involving the application of quantitative and qualitative methods to enhance the technological skills of the school staff in alignment with modern curriculum. Additionally, the responsibility of managing financial aid applications and related documentation for the Child Care Resource Center/Pathways sets this role apart, demanding precision and timely processing, often necessitating the application of quantitative analysis. Lastly, the maintenance and meticulous control of an organized electronic filing system for records, invoices, and financial documentation, ensuring strict adherence to school policies and regulations, is another key distinguishing feature of this position.

**SUPERVISION RECEIVED AND EXERCISED

General supervision is provided by the school principal or another high-level administrator. Assignments require the direct and indirect supervision of general clerical positions.

**EXAMPLES OF DUTIES

Plans, assigns, supervises, and participates in the work of the clerical section of the assigned office or school; follow-ups work upon completion for conformance to Scholars Preparatory School policy standards.

Collaboration with school leadership using quantitative and qualitative methods to improve new technological skills of stuff at school according modern curriculum.

Manage financial aid applications and other documentation for Child Care Resource Center/Pathways ensuring accurate and timely processing while applying quantitative methods when necessary.

Maintain and control an organized filing system for records, invoices, and financial documentation, ensuring compliance with school policies and regulations electronically.

Uses microcomputer, word processor, memory typewriter, or standard electronic typewriter to type a variety of materials such as charts, memoranda, requisitions, letters and reports.

Supervises and participates in the initiation and maintenance of files and records.

**CLASS QUALIFICATIONS

Knowledge of: English usage, spelling, grammar, and punctuation. Armenian usage, spelling, grammar, and punctuation. Russian usage, spelling, grammar, and punctuation.

Ability to: Analyze situations carefully and adopt effective courses of action. Learn the procedures and operating details of the school or administrative office to which assigned. Interpret and apply administrative and departmental policies, and rules. Type/keyboard input accurately at a speed not less than 55 net words per minute on a typewriter or computer. Transcribe dictated material by using any appropriate skill such as shorthand, transcriber, speed writing, or machine shorthand. Work independently in the absence of supervision. Compile and maintain complex and extensive records, prepare reports for school principal.

**EMPLOYMENT STANDARDS Two years of recent experience in increasingly responsible and complex administrative and business management work.
