Evergreen Health Administrative Assistant in Buffalo, New York

COMMUNITY ACCESS SERVICES

The Administrative Assistant is responsible for all clerical support and administrative organization for Community Access Services. The Administrative Assistant will also be responsible for direct service provision for clients receiving CAS Pantry Services, including verification of eligibility, referral to adequate services, and maintenance of related data, charts and reporting.

As part of the essential functions of this position, the Administrative Assistant:

  • Provides customer service to clients and visitors, answer telephone calls and processes mail.

  • Enters program data into databases to facilitate accurate and timely reporting to the agency’s funders.

  • Develops and implements improvements in general office systems and procedures ensuring consistency and efficiency in the office.

  • Assists staff with logistical aspects of preparation for programs, meetings and special events.

  • Collaborates with the Executive Director and program staff to keep the agency’s website and online and print promotional materials up-to-date.

  • Serves as liaison with the Facilities Coordinator regarding equipment service contracts, participating in problem identification and resolution.

  • Maintains complete and accurate client and program files in compliance with agency confidentiality policies and grant requirements; enters all required data into electronic reporting system.

  • Adheres to the FeedMore WNY and/or other funder requirements for the provision of emergency food pantry services.

  • Conducts initial eligibility assessment for all individuals requesting or referred for services.

  • Maintains up to date inventory list for client choice shopping list.

  • Accurately compiles and enters pantry access data into the designated databases.

  • Keeps accurate records and documentation of all pantry services, site deliveries, and payment requests and invoices.

  • Compiles invoices and submits requests for payment on a regular basis.

  • Compiles data for timely submission of monthly pantry reports.

  • Ensures physical pantry meets all safety and health guidelines including food storage and pantry cleanliness.

  • Coordinates order and delivery of pantry foods to ensure that inventory meets the demands of the community.

Qualified Candidate will have a high school diploma or GED (Associate's Degree preferred) . Candidate must be able to communicate clearly and professionally and demonstrate ability to work independently and exercise effective multitasking and time-management skills. Candidate must demonstrate familiarity with computers and MS Office software (Outlook, Word), effective organizational skills and attention to detail. Ability to maintain Protected Health Information (PHI) in a confidential manner required. Sensitivity toward cultural diversity, people living with HIV/AIDS and lifestyle and addiction issues essential.
