Assistant to the Chair, Creative Arts Therapy (71150)Location: Brooklyn, NYDescription:Under general supervision and with moderate latitude for independent judgment, the Assistant to the Chair will perform a variety of tasks in support of the Creative Arts Therapy Department which offers two Masters programs: MPS in Art Therapy and Creativity Development and MS in Dance/Movement Therapy in traditional, two-year and Low Residency formats. Reporting directly to the Chair and working closely with the Assistant Chairs and faculty, the Assistant to the Chair will oversee activities related to management of the department's complex day-to-day functioning including: overseeing routine activities, organizing calendars, planning forums, facilitating communications and marketing, managing several budgets, overseeing purchasing, maintaining confidential departmental archives, assisting students with questions related to classes, advising, registration, as well as supervising Graduate Assistants.The Assistant to the Chair is a key member of the collaborative administrative team and participates in strategic decision-making to set, plan, and operationalize the department's mission.Duties and Responsibilities:Provide administrative support, arrange and maintain scheduling for the Chair, Assistant Chairs, and members of department leadership.Oversee department office to ensure smooth and responsive operations such as answering phones, taking and routing messages, assisting students and faculty, delivering and picking up paperwork, distributing mail, monitoring inventory and handling in-person inquiries.Work closely and liaise with offices across campus to ensure proper functioning of the department.Manage and track all facility and technology needs, ensure resources and advocate for additional resources where required.Troubleshoot classroom issues to ensure smooth functioning and organization, and initiate IT and facilities repairs as necessary.Coordinate admissions process: correspond with prospective applicants, provide tours of the department, provide information regarding the programs, and coordinate interviews.Manage operations budget and track expenses.Process department paperwork for accounting, including reimbursements, purchase requisitions, and troubleshoot/follow up on all payment queries.Process budget transfers for expenses and stipends. Manage department credit card transactions.In collaboration, manage course schedules, and work with registrar's office to assign rooms.In collaboration with the chair, prepare faculty payroll, stipends, and release time.Manage department-wide communications to students and faculty; maintain a variety of departmental confidential databases including contact lists.Monitor and maintain departmental presence on Social Media.Ensure proper collection and storage of all department records, including syllabi and materials requested for external review.Hire, coordinate, and supervise graduate assistants/student worker(s).Curate and distribute meeting minutes and department newsletters, as required.Manage administrative tasks related to the Low Residency Program when it meets in March and Jun
