Administrative Manager - Manager for Clinical Training (CUNY ONLY)

POSITION DETAILS

The Brooklyn College Department of Psychology seeks an Administrative Manager who will serve as Manager of Clinical Training for the department’s MA program in Mental Health Counseling (MHC). This position will manage the administrative procedures and processes related to student internship and practicum placements. Reporting to the MHC Program Director or Department Chairperson the Admin Mgr. will work with faculty, adjunct instructors, and other office staff to ensure smooth operation of the MHC program.

In addition to the CUNY Title Overview, the Administrative Manager's duties include but are not limited to:

  • Manage student internships and practicums, which involves finding placement sites, writing up contracts between BC and the sites, guiding students, helping students with interviews and resumes, dealing with challenges arising at sites, and collaborating with internship course instructors.

  • Establishes and evaluates placement sites and monitor supervisor credentials. Develop and expand list of potential practicum and internship sites.

  • Oversee and document students' completion of placement/site pre-requisites such as fingerprinting, liability insurance, medical clearance, the child-abuse reporting seminar, etc.

  • Directing MHC events and processes like recruitment, open houses, information sessions for accepted students, orientation, scheduling, troubleshooting student issues, comprehensive exams, etc.

  • Coordinating and participating in the admissions process, offering general input and an additional voice for borderline cases.

  • Coordinating alumni-related issues, including communications with alumni, licensure-related documentation, alumni participation in events and program activities such as guest panels and classes, and surveying alumni for program assessment purposes.

  • Surveying and other research with training sites and employers, tracking NYS licensing outcomes, especially for program assessment purposes.

  • Develop student orientations for internship and practicum experiences to prepare students for their field experiences.

  • Other duties as assigned.

QUALIFICATIONS

Bachelor's Degree and six years' relevant experience required.

Preferred Qualifications

  • Domain-specific knowledge in the field of clinical and counseling psychology as well as the operation of clinical training programs.

  • Master's degree in counseling or related field.

  • License and/or Certification in Counseling or related field preferred.

  • Excellent customer service, interpersonal, oral and written communication skills.

  • Detail oriented with the ability to multi-task with multiple priorities and deadlines.

  • Experience networking with human service agencies and/or behavioral health systems.

  • Travel to placement sites required.

  • Experience working with college students, specifically in clinical field placement of students entering practicum a plus

  • Manages administrative aspects of department operations such as admissions, recruitment, scheduling, facilities management, and events.

  • Serves as Office Manager, supervising and training staff, managing financial operations and budgets, and coordinating technology, equipment, security, and building maintenance requirements.

  • Represents management in meetings and activities related to department administration.

  • Maintains archives, inventories, or collections of materials or records needed by the department.

  • Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.

  • Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues

  • Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.
