Introduction:

In Mar 2019, the MoD signed a £1.51Bn deal to purchase the Wedgetail AEW Mk1 aircraft. The Wedgetail fleet will replace the current E-3D Sentry aircraft and ensure the continued delivery of the UK’s Airborne Early Warning and Control (AEW&C) capability at RAF Waddington in Lincolnshire.

In support of this delivery programme, an outstanding opportunity for a Project Admin Support to join Boeing Defence UK has arisen. This role will provide project administration activities to support the Wedgtail AEW Mk1 Programme Manager and Poseidon P-8 Programme Manager.

In addition, the role will provide support to key Wedgetail programme team members. This will be a dynamic role with no two days being the same, providing vital administration support to an extremely busy team to ensure that they can work efficiently and effectively.

This will include:

  • Diary management for senior UK based team members.

  • Booking of conference rooms to support the team.

  • Booking of travel and expensing the travel claims.

  • Organising of Visa’s and COVID travel arrangements.

  • Organising catering for key customer meetings

  • Supporting Enterprise meetings and taking record of actions.

  • Raise procurement requisitions as required.

  • Support the editorial team Newsletter.

The role is based in Bristol, with opportunity for remote working, to meet a flexible working arrangement and a healthy work/life balance.

Responsibilities:

The Project Admin Support will be responsible to the Wedgetail AEW MK1 Programme Manager for delivery effective support to key members of the E-7 and P-8 leadership team. The role will require collaboration across the programme team and the functions to ensure the busy team are well-supported. Reporting to the Tranche 2 Programme Manager, the Project Manager will be responsible for all activities in support of the OFT scope of work.

Key Responsibilities are:

  • Diary Management – Working with key senior team members to de-conflict diaries and ensure that the monthly drumbeat of meetings are in place to support the programme.

  • Admin Support – Provide the team with a plethora of administrative support tasks to ensure that senior leaders are focussed on delivery.

  • Booking of Travel and Expenses – The programme is global in nature and extensive travel is required to execute the schedule. This will support the team in booking travel through the concur system to be cost-effective. Additionally expensing the claims post travel to ensure that key personnel are well-supported. This will include arranging VISAs to certain countries and ensuring COVID travel restrictions are supported

  • Communications – Supporting the team communication plan, including the monthly newsletter and all employee meetings.

  • Raising Procurement Requests – Acting as a focal point for adhoc procurement requisitions in a Boeing provided system; full training will be provided.

Work Authorisation:

This requisition is for a locally hired position in the UK. Candidates must have current legal authorisation to work immediately in the United Kingdom. Boeing will not attempt to obtain Immigration and labour sponsorship for any applicants.

Security Clearance: This position requires the ability to obtain a UK security clearance (SC) for which UK residency is required. All information will be checked and verified.

Qualifications:

  • Proficient in Microsoft applications.

  • Strong management of tasks, with a track record of successfully delivering upon commitments.

  • A strong focus on adherence to detail and completion of tasks on time.

  • Proven ability to support to senior leaders in a dynamic environment.

  • Experience of working in a large team environment would be an advantage.

  • Good note taker and recording of decisions from meetings.

  • Proven experience of working with senior management and demonstrating good stakeholder management.

  • A ‘can-do’ attitude with the ability to think around problems, use intuition and get the best from those around them; a team effort.
