Summary

 

This Assistant to the Associate Vice President of Marketing and Brand Strategy provides administrative oversight to the Associate Vice President of Marketing and Brand Strategy and oversees operational functions of the department. This position manages budget operations including inventory, bidding, awarding projects, and contracts. The assistant coordinates the data collection, analysis, progress reporting, and other communications on behalf of the AVP of MBS to ensure that the AVP is informed of developments across and within reporting units; oversees the planning, scheduling, preparation for, and execution of meetings and events on the AVP's behalf.

 

Essential Functions

 

• Develops an annual budget for the department and processes all contracts, invoices, and financial reports. Manages equipment and departmental purchases. Handles interdepartmental budget transfers and p-card transactions.

• Serves as the primary coordinator for all administrative operational matters between/among the AVP and the department including direct reports, colleagues across campus, and external entities such as vendors, etc. Manages department-wide events, communications, records, physical space, supplies, reports.

• Coordinates and manages the AVP's calendar and schedule by ensuring all relevant and pertinent supporting materials, meeting notes, and action items have been summarized, organized, and disseminated in advance of each meeting to ensure the most effective and productive use of meeting time. Creates meeting minutes/notes as needed.

• Monitors deadlines for important projects, relays information to direct reports. Proofs, edits, and prepares/compiles projects, reports, and presentations for the AVP.

• Authors, compiles, and/or manages/disseminates communications for the AVP. Compiles information and creates/reviews correspondence on behalf of the AVP.

• Oversees special projects as assigned; tracks/approves leave time for MBS staff; ensures MBS office has representation on campus initiatives, committees, and projects; attends training and professional development opportunities.

• Other duties as assigned

 

Minimum Qualifications

 

The following Degree is required:

 

• Bachelor's degree required. Degree must be conferred at the time of application.

 

The following Experience is required:

• 3 years of experience in purchasing, marketing, communications, or related field
