Administrative Assistant - CHHS Bowling Green State University Salary: $18.38 - $20.09 Hourly Job Type: Full-Time Division: Col of Health & Human Services Opening Date: 05/03/2024 Location: Main Campus (BG), OH Job Number: BGSU00421 Department: Col of Health & Human Services Closing: Summary Provides high level administrative support to the Dean, Associate Dean, Assistant Dean and Budget Administrator of the CHHS. Provides administrative oversight and coordination of the daily operation of the HHS college and for the college as a whole. Performs work of a confidential nature and relieves department supervisors of non-routine or routine administrative responsibilities. Must be able to interpret and make decisions based on policies, procedures and practices established by the university. Essential Functions Schedules, secures meeting location and teleconference capabilities. Prepares agendas and other documents for distribution. Attends department meetings and retreats. Drafts, posts minutes of meetings. Manages the hiring, supervision and budgets of the college's student employees. Prepares and/or provides coordination, analysis, data collection, reports and other communication for the college. Interprets, develops and implements operational procedures and policies for college office and college operations as a whole. Helps plan and support college events. Serves as principal office liaison to the Department Chairs and Program Coordinators, Director of Budgeting, the Provost, the Vice Provost, Human Resources, Purchasing, Student Financial Aid, Campus Operations and Foundation, as well as other college dean's offices, in matters involving the operation of the College. Opens, reviews, routes or responds to correspondence. Researches, responds to questions from students, staff, faculty and the general public. Resolves administrative problems. Handles the PED and key ordering for dean's office. Provides support to college Budget and Operations Administrator including monitoring monthly expenses for accurate progression through proper channels, processing invoices, preparing check requests and travel/expense reimbursements and ordering supplies for college office during peak workflow and as backup in college Budget Administrator's absence. Assists with the development of position descriptions and advertisements for searches and coordinates the faculty/staff hiring functions, via Neo Ed. Maintains needed confidential personnel files, subject files and department/program files. Represents the dean in verbal/written communications to internal and external entities.
