Competencies

You will be under the direction of the Head of Internal Manufacturing Quality, responsible for all administrative support for this to person and respective team. The ability to handle sensitive and confidential material is critical to the position. In addition, strong organizational, prioritization, interpersonal and communication skills are required.

Skills/Knowledge Required

  • A business/administrative school graduate or equivalent.

  • Minimum 3 years of administrative assistant experience.

  • Must have strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required.

  • Must be able to work with limited day to day supervision.

  • Strong computer experience and Microsoft programmes experience (Excel, PowerPoint, Word)

  • Excellent written and oral communication skills.

  • Fluent in English and French MANDATORY

  • Must be able to appropriately handle confidential information.

  • Ability to function productively in a fast-paced and rapidly changing environment.​

  • Strong organizational, prioritization, interpersonal skills

Duties and Responsibilities

  • Provide administrative support to Head of Internal Manufacturing Quality for day to day operations as well as individual projects as needed.

  • Provide general administrative support to the department and others as and when required.

  • Update and edit Quality documents (Policies, SOP’s, Forms and Lists) in support for the authors. Maintain the Table of Contents for Quality Management System Documents.

  • Participate and coordinate different events for its and/or other departments.

  • Open, sort and distribute mail, fax documents, keep files.

  • Responsible for scheduling, organizing and recording all staff meetings and travel arrangements.

  • Organize administrative systems to support department members including filing/records retention and other functions as required.

  • Schedule conference room usage.

  • Manage staff calendars, updating monthly schedule and report; arrange travel itinerary and related activities.

  • Prepare presentation materials.

  • Willing to travel to Marin and Couvet sites
