Manulife Sr Executive Assistant in Boston, Massachusetts

This role provides executive level administrative support to the President & CEO of John Hancock. This the role will be accountable for executive support activities such as calendaring, expense reporting, travel management, as well as the day-to-day management of the Executive Office. We are looking for an enthusiastic, learning oriented professional EA colleague who is proactive, engaged, and interested in bringing a lot of value to the position.

Position Responsibilities:

  • Responsible for executive’s calendar. Booking all appointments and making sure the daily schedule flows efficiently. Rescheduling of appointments as the executive’s calendar can be very fluid.

  • Scheduling US Leadership Team meetings and managing agenda for these meetings

  • Reads email and identifies key decisions required so items don’t get missed

  • Customer issues – works with the appropriate teams to ensure issues are being addressed in a timely and satisfactory manner

  • Assist the executive in achieving a paperless environment

  • Interacts with board members and/or various committee members on behalf of the executive; Contacts company personnel at all levels to gather information for the executive, to follow up, or to communicate information on behalf of the executive

  • Screens telephone calls; responds personally wherever possible; uses judgment regarding potentially urgent matters

  • Prioritizes and summarizes contents of incoming materials - e.g., mail, reports, government notifications, articles, competitor packages - requiring knowledge of operations, an understanding of pertinent individuals involved, protocols, actions required, timelines, signature authority required, compliance, regulatory mandates, etc.

  • Manage administrative projects as assigned by executive and ensure accurate and timely completion of tasks. Projects assigned may include research, correspondence or other work for the executive. Independently gather information, test for reasonableness and analyze data. Make recommendations solutions to issues or problems.

  • Timely resolution of issues/projects, keeping executive informed on the status of items

  • Makes independent decisions regarding planning, organizing, and scheduling own work

  • Arranges and coordinates travel, including travel agenda; Handles details involving foreign travel, including entry papers, currency, passports and visas

  • Completes executive’s expense reports; maintains detailed records of expenses.

  • Reviews expense reports for executive’s direct reports to ensure they follow company policy

  • Careful proof reading of all documents sent out by the executives, whether created by the admin/executive or by someone else, ensuring grammatically correct and no spelling issues

  • Maintain calendar for tracking ex-patriot whereabouts (in-/out-of-country) for tax purposes

  • Other responsibilities as assigned.

Required Qualifications:

  • Progressive experience in executive level administrative support.

  • Expertise in MS Office applications – Word, Excel, PowerPoint, Access, and software applications unique to the business; Works with standard office software packages.

  • Work is of a confidential nature, requiring a broad understanding of the company’s business, policies, and practices

  • Excellent problem-solving and verbal and written communications skills

  • Ability to be flexible, multi-task and pivot quickly when required

  • Ability to represent the executive to others

  • Ability to work well with other executives’ assistants

  • Strong attention to detail and accuracy required.

  • Ability to work with top management and may act on behalf of Executive on some matters, or refer matters to others on their behalf

Salary range is expected to be between

$58,875.00 USD - $98,125.00 USD

The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
