Boston University ASSISTANT REGISTRAR, School of Dental Medicine, Office of the Dean in BOSTON, Massachusetts

The Office of the Registrar at the dental school is a high volume, high functioning area that is ultimately responsible for all aspects of the student life cycle from matriculation to graduation and beyond into Alumni status. The incumbent must be able to work well with time-sensitive deadlines, exercise initiative, and be able to make independent judgement calls on a daily basis utilizing up to 9 non-integrated stand-alone shadow systems.

The main responsibility of the Assistant Registrar is to manage all stages of registration as well as the GSDM transcript database for approximately 640 + professional pre-doctoral students. Students enroll in one of the two tracks for the pre-doctoral Doctor of Dental Medicine program that differ in duration. Students are enrolled into either the four-year traditional program or the two-year Advanced Standing program. Both program registrations result in over 110 + courses for all pre-doctoral students that are recorded in the GSDM pre-doctoral transcript database.

The position is responsible for communicating and resolving with the faculty, Academic Affairs, and Promotions Committee, any issues with students academic progress, discrepancies with any of the courses, determining grade submissions deadlines, recording and monitoring the thirty 36,000 + individual grades as well as resolving missing or incomplete grades. Registration of students on UIS (university's information systems) includes monitoring and/or correctly updating the coding of each according to their enrollment status and graduation date. Position is responsible for processing approved changes to tentative graduation dates, adding additional semesters to the students record and registering and coding student for additional semesters.

The incumbent must utilize complex reporting tools and create custom reports for various requests while continuously monitoring student academic progress and anticipated graduation dates. Reports include, but are not limited to data required annually for the American Dental Association (ADA) Survey, pre-doctoral student rankings and requested GPA reports, statistical data regarding pre-doctoral student signout, and tentative January, May and September graduation reports for Academic Affairs. Incumbent must maintain pre-doctoral student records (paper and in multiple databases), process transcript and verification requests for both the pre-doctoral and postdoctoral population while providing excellent customer service to students, alumni, faculty and colleagues.

Responsibilities include managing all P-Card payments and reconciliations, tracking and ordering supplies, and collaborating with vendors and University Procurement. Calculates and determines disability insurance premiums based on current pre-doctoral enrollments and processes payment on a bi-annual basis.

Required Skills

  • Bachelors degree required

  • 1-3 years administrative experience (direct experience in higher education preferred).

  • Must be able to communicate clearly and concisely with a diverse population of faculty, staff, and students at all levels.

  • Requires excellent analytical skills

  • Demonstrates good judgment and possesses excellent decision-making abilities

  • Proficiency with Microsoft Office Suite

  • Experience managing budget preferred
