About this role:

•This position is a member of the Facility Operations team for Digital Commerce.

•The incumbent will be expected to conduct regular assigned tasks, respond to associates’ support and assistance requests, and aid the other members of their team.

•This position will be expected to participate in projects with other members of the Facility Operations team, work closely with vendors, and occasionally work with outside departments including IT, HR, Sales & Operations.

•Success will be measured through results and feedback from other associates.

Job Function & Responsibility

•The General Administration job family conducts a range of diverse administrative and staff functions. General areas of responsibility include reception, mailroom services, travel support, conference management, administrative support services and project management. Positions in administrative services are responsible for providing administrative and secretarial services to the organization.

•Sets day-to-day objectives to deliver job responsibilities working within guidelines, norms, or best practices. Work consists of routine tasks, with moderate supervision, and may seek advice from more senior associates.

•Problems and issues faced are typically routine, but solutions may not always be clear. Checks and makes minor adjustments to work methods to solve problems that are routine and typically exist in current work processes and systems. May be required to report concerns/problems to supervisors and recommend solutions. 

What you will need:

•HS Diploma minimum, preference for 2+ years of experience in similar positions.

• Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

Specific Areas of Responsibility

Reception (5%)

oServe as the primary gatekeeper for all Associate, Vendor, Delivery, Prospective Associate, and Guest visitors; greeting and directing as required.

oAssist in ensuring all building access policies are followed.

oHelp maintain workplace security by issuing visitor badges and access cards as necessary and maintaining visitor management system.

oMaintains a safe, clean, and professional lobby and reception area.

oAssist in the coordination of Hospitality and Associate Recognition events.

oRespond to or redirect routine inquiries from external or internal sources about the organization, its activities, or processes promptly and accurately.

oReceive mail, packages and deliveries.

Office Manager (30%)

oResearch, evaluate, and recommend office supplies and equipment purchases to minimize costs and meet the organization's business needs.

oMonitor, review, and approve standard expenditures to ensure the office's activities are conducted within established budgets.

oRestock office and kitchen supplies.

oCoordinate Mail & Delivery services; receive, sort, and distribute incoming mail, and prepare outgoing mail. Coordinate directly with carriers and the Postal Service as needed.

oRespond to or redirect routine inquiries from external or internal sources about the organization, its activities, or processes promptly and accurately.

oCommunicate with external equipment suppliers (for example, vendors for printer/copiers, coffee machines, beer kegs, etc.) to arrange equipment service and repair.

oParticipate in relevant associate meetings and communicate any concerns to management.

oPerform minor accounting duties.

Facilities Coordinator (30%)

oManaging building and equipment preventative maintenance schedules.

oAct as a liaison for contractors, building security, maintenance, and service providers.

oMonitor serviceability and place service calls to repair and maintain office equipment, signage, and facility services.

oCheck rooms and furniture to identify needs for repairs or renovations.

oDesign and oversee the schedule for cleaning and disinfecting the building.

oMonitor activities that happen outside the building, such as proper waste disposal and recycling

oKeep track of regular and ad-hoc facility expenses

Safety Coordinator (30%)

oEnsure compliance with all applicable health and safety regulations.

oWork directly with the Director of Warehousing and Director of Supply Chain on safety initiatives.

oComplete and report findings from monthly audits

oWork with Ferguson’s Health and Safety department for any updates/requirements for the building.

oCoordinate and Lead monthly Safety Committee meetings.

Executive Assistant (5%)

oFacilitate interoffice communications with local leadership.

oOrganizing meetings, including scheduling, sending reminders, and organizing catering when necessary

oManaging leadership’s calendars, including making appointments and prioritizing the most sensitive matters

oArranges travel and accommodations for local leadership.

oMaintain the security and confidentiality of local leadership's records and files.

Other Expectations

•Performs all work in accordance with established safety standards and adheres to all safety policies, rules, regulations and procedures.

•Participates in associate meetings and communicates any concerns to management.

•Adheres to all policies, rules, regulations, codes, and procedures.

•This position has no budget setting or budgetary authority but acts as part of a team with responsibility for achieving project objectives within an established budget.
