Overview We're seeking a dynamic Office Assistant to join our team and provide essential administrative support to the Director of Students. In this role, you'll be responsible for managing office tasks, coordinating travel arrangements, and reconciling purchases. Your contribution will be pivotal in ensuring the seamless operation of the department and fostering effective communication with both internal and external stakeholders.

Responsibilities Responsibilities:

  • Train and guide hourly student staff in their tasks.
  • Perform general office duties:
  • Answer phones, direct calls, and take messages.
  • Enter data and maintain files.
  • Assist with basic correspondence and copying.
  • Handle travel arrangements and purchase reconciliations.
  • Order and distribute office supplies.
  • Help plan and execute events and programs.
  • Perform other assigned duties.

Qualifications Minimum Qualifications:

  • High school diploma/GED or aptitude is required, along with at least one year of college.
  • Previous administrative support or secretarial experience. Preferred Qualifications:

  • Associate degree, preferably with a degree related to the field of education, business, or counseling.

  • Experience with higher education office procedures and protocols is desirable.
  • Familiarity with using AI software or the ability to learn.
  • Experience working in a higher education environment.
  • Experience working with various student populations and demographics, handling student matters, and organizing events and programs is also beneficial.
  • Prior experience in a similar role or in student affairs, counseling, or related areas can be advantageous.

Knowledge, Skills, and Abilities:

  • Proficient in computer use and standard office applications.
  • Familiarity with office equipment like printers and copiers.
  • Strong organizational skills to manage tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information discreetly.
  • Exceptional customer service skills.
  • Problem-solving and critical thinking abilities.
