The main purpose and function of the Accounting Specialist will be to support all functions in the accounting department including accounts payable processing, accounts receivable payment application, billing, and related transactions for all the company’s divisions.

Specific responsibilities may include:

  • Process customer invoices and related shipping documents daily.

  • Perform invoice data entry, identify discount opportunities, and ensure timely payments.

  • Ensure customer invoices are prepared and processed timely and accurately.

  • Distribute invoices to customers daily.

  • Assist with new customer credit applications.

  • Maintain customer files and inventory information.

  • Maintain accounts payable email and assist in processing payable transactions in the accounting system.

  • Verification of federal ID numbers, reviewing purchase orders and resolving discrepancies

  • Tracking and coding of freight invoices

  • Tracking purchase order receipts and invoices

  • Execute ACH and check processing weekly.

  • QuickBooks entries and bookkeeping for 3-4 small family-owned subsidiaries.

  • Assist with annual financial statement audit as needed.

  • Support and participate in the organization’s Continual Improvement Program and Quality Management System.

  • Other duties as assigned.

REQUIREMENTS:

EDUCATION AND TRAINING

  • Basic math, reading, and writing skills.

  • High school diploma or equivalent preferred.

EXPERIENCE

  • Two (2) to five (5) years accounting experience preferred.

Knowledge and skills

  • Knowledge of basic principles of bookkeeping and accounting.

  • Proficiency in working with numbers and making calculations with minimal errors.

  • Proficiency in Microsoft Office Suite and related programs.

  • General office equipment knowledge (10 key, etc.)

  • Knowledge of basic principles of bookkeeping and accounting.

  • General office equipment knowledge 10-key etc.

  • Communication skills, including peer to peer and employee to supervisor communication and interpersonal skills.

PHYSICAL AND SAFETY REQUIREMENTS

  • Sitting, bending, standing, walking, 8-10 hours per day.
