Position Overview: We are seeking a friendly, organized, and proactive Front of House / Administrative Assistant (m/f/d) to join our team in Berlin. Germany. This role is essential in ensuring smooth daily operations and providing exceptional support to our team and visitors.

This position requires the candidate to work 100% onsite at our company location. The selected candidate will be expected to adhere to a dress code policy and wear corporate clothing provided by the company. The dress code will consist of navy-blue attire.

Key Responsibilities:

• Greet visitors, manage phone calls, and handle correspondence with professionalism and courtesy.

• Provide safety and site briefings to visitors.

• Coordinate mail and shipments.

• Maintain office supplies, coordinate maintenance requests, and ensure a tidy and welcoming environment.

• File records as per record information management and storage requirements.

• Manage databases and ensure accurate and confidential handling of information.

• Assist with scheduling, meeting coordination, and document preparation.

• Manage conference and meeting rooms.

• Coordinate host requirements for transportation, catering, and logistics support.

• Liaise with nominated suppliers.

• Assist in organizing internal events, meetings, and functions.

• Provide financial data for planning, budget execution and spend analysis.

• Manage the life cycle of capital assets and office property.

• Raise purchase requisitions as required.

• Provide telecommunication devices and manage the associated vendor contracts.

• Process invoices and associated documents conforming to finance and supply chain standards.

• Identify and report safety hazards, near misses and incidents.

• Support employee on- and offboarding.

• Other areas of responsibility may evolve over time, including development opportunities in support of ongoing projects.

Basic Qualifications (Required Skills/Experience):

• Strong technical skills, including advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.

• Fluent in English and German, both written and spoken.

Preferred Qualifications (Desired Skills/Experience):

• Graduate degree in a related field.

• Previous experience in a reception or administrative role

• Relevant work experience in hospitality or travel business or multinational company

• Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

• Exceptional attention to detail and accuracy.

• Strong communication and interpersonal skills.

• Ability to work independently and collaboratively in a fast-paced environment.

• Proactive problem-solving abilities
