HEALTH AND HUMAN SERVICES COMMISSION Regional Receptionist/Switchboard Operator in BEAUMONT, Texas

Job/Position Description Administrative Asst II -

  • Serves as the receptionist and switchboard operator for Regional Administrative Services.
  • Answers, places and routes calls.
  • Answers routine questions and refers callers to appropriate resources.
  • Greets clients and visitors, answers general questions and notifies staff of clients and visitors.
  • Performs administrative or support work, may monitor requests and assign work tasks, sorts and routes mail, and assists with scheduling Regional Headquarters training rooms.
  • Works under moderate supervision with limited latitude for the use of initiative and independent judgment

Essential Job Functions:

  • Attends work on a regular and predictable schedule in accordance with agency leave policy.
  • Greets clients and visitors, answers general questions, provides general information and may explain rules/procedures.
  • Directs callers to proper staff (may involve notification to staff that the visitor has arrived.) (30%) Answers and routes calls.
  • May refer callers or visitors to services or resources at other agencies or organizations.
  • (30%) Performs administrative or support work for Regional Administrative Services (for example, but not limited to typing correspondence/documents, monitoring requests and assigning work tasks, tracking assignments, maintaining logs, completing forms/reports scheduling training rooms at regional headquarters.) (30%) Sorts incoming mail for Regional Headquarters office and prepares outgoing mail. (10%) Registrations, Licensure Requirements or Certifications Valid Class C Texas Driver's License.
  • Knowledge Skills Abilities Knowledge of modern office practices, procedures, and office machines/equipment.
  • Skill in the use of standard agency computer hardware and software such as Microsoft Office Suite.
  • Skill in organizing and prioritizing workload.
  • Skill in managing multiple priorities.
  • Ability to establish and maintain effective working relationships with customers, staff, peers, management and external contacts.
  • Ability to communicate effectively orally and in writing.
  • Ability to lift, push, pull and carry 30 lbs.
  • Initial Screening Criteria High School diploma or GED is required.
  • Experience in performing clerical related work such as receptionist and telephone switchboard operator.
  • Ability to communicate effectively in writing as demonstrated in the application.
  • Skill in computer usage including Microsoft Office Suite.
  • Additional Information May assist with emergency/disaster situations throughout the state.
  • Ability to travel which may include overnight stays.

Please note that while the posted salary range for this position is $2444.33 to $3070.33, only former and current Health and Human Services Commission employees will be offered a salary above $2444.33. Current employees promoting into this position will be offered a salary that meets Human Resources salary guidelines for promoting employees. Former employees may be offered a salary above $2444.33 if they have recent, comparable experience. Recent experience includes experience within one year prior to the application closing date.
