Job Purpose/Overview

The Administrative Assistant will support the Global Operations Integration Specialist manager on a daily basis. The ideal candidate will be proactive, resourceful and have exceptional organizational skills. Additionally, the ideal candidate should be a master in relationship building and ready to communicate constantly, not only across the company, but externally as well. The candidate will be expected to provide a high level of discrete and professional administrative assistance.

Essential Duties and Responsibilities

  • Answer all incoming office calls and direct them appropriately

  • Customer service: follow up with customers after purchase, general phone inquiries

  • Log all travel for staff

  • General Administrative work

  • Data Entry

  • Welcome and provide general support to visitors and guests

  • Point person for office maintenance

  • Assist in organizing office operations and procedures

  • Ensure office efficiency through resource management

  • Ensure filing systems are maintained and current

  • Monitor and maintain office supplies inventory

  • Update and maintain office policies and procedures

  • Performs other duties as assigned.

Education and Experience

  • An Associate’s Degree in Business Administration or related field preferred

  • Excellent communication skills

  • Highly Organized

  • Proactive in nature

Knowledge, Skills and Abilities

  • Excellent organizational, interpersonal, written and verbal communication skills.

  • Ability to execute many complex tasks simultaneously while managing priorities.

  • Ability to maintainhigh degree of confidentiality at all times.

  • Strong interpersonal skills and the ability to establish a rapport with leadership, team members, suppliers, and customers

  • Excellent computer skills, including the Microsoft Office Suite.

Working Conditions

The associate is regularly required to apply manual dexterity, including hand/wrist flexibility, for computer keyboarding. The associate frequently is required to sit for extended periods of time, stand, walk, and reach with hands and arms. The associate is frequently required to hear and speak in order to use the telephone, make presentations and communicate with people in an office or virtual environment. The associate is occasionally required to sit and stoop, bend, kneel, or crouch. The associate must occasionally lift and/or move up to 15 pounds.

The associate will primarily work in a typical office environment office. The noise level in the work environment is usually moderate. The associate will be required to use a computer, spreadsheets, data base management, email, video conferencing and the Internet. The associate is frequently required to use a calculator; fax, copy machine, and phone system. The associate must occasionally use media equipment such as an overhead projector, PowerPoint, and Microsoft Teams. Environment where pets are present
