Johns Hopkins University Special Events Coordinator in Baltimore, Maryland

We are seeking a Special Events Coordinator who will support the Senior Assistant Director, On-Campus Recruitment, and the Assistant Director of Events for all on- and off-campus event programming. This position takes ownership of the event logistic planning throughout the year for prospective and admitted students, as well as the counselor community.

Specific Duties & Responsibilities

  • Reporting to the Senior Assistant Director, On-Campus Recruitment, this position will also work daily with the Assistant Director of Events, Office of Undergraduate Admissions marketing & communications team, administrators, counselors, and other staff to execute and support event programming working toward institutional goals.

The position is responsible for

  • Oversight of all aspects of the planning and execution of all on-campus recruitment events, ensuring all logistical details are managed, including, but not limited to, space reservations (layouts), facility, catering, transportation, A/V, and all other event-related logistics.

  • Co-coordination of additional fall and spring on-campus events for both prospective and admitted students, counselors, and other audiences.

  • Assisting with managing relationships with campus partners who help execute events, including (but not limited to), parking, facilities, catering, housing, dining, security, special events, custodial, electrical, grounds, sustainability, recycling, and audio-visual.

  • Management of receipts for budgeting purposes.

  • Projecting and anticipating needs for day-of event execution and ensuring all colleagues and team members have the materials and training support they require to successfully execute events.

  • Serving as the manager-on-call for select events or programs within events, as determined in concert with the Senior Assistant Director, On-Campus Recruitment.

  • Assisting admissions counselors with the planning of programs.

  • Cross-trained with the visitor center team to support phone lines, front desk, and other daily events as needed.

  • Manage space reservations and Undergraduate Admissions requests for Mason Hall.

  • Inbox management for relevant programs.

  • Support to help manage communications with prospective and admitted students related to events and programming.

  • Work with the Senior Visitor Center Coordinator to secure spaces for daily programming.

  • Other duties as assigned.

  • Some travel is possible.

  • Some weekend and evening hours are required.

Physical requirements for the job

  • Must be able to stand for at least 3 hours at a time and have the ability to lift and carry boxes weighing up to 25 pounds.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor's Degree is strongly preferred.

  • Previous experience with CRM and project management software is preferred.

  • Previous work experience in running large student-oriented events such as Freshmen Orientation at a college or university of Johns Hopkins caliber is strongly preferred.

Starting Salary Range: $18.20 - $33.90 HRLY (targeted salary of $45,000 - $50,000, commensurate with experience)
