Kennedy Krieger Institute PROGRAM SPECIALIST - TRAINING ADMINISTRATION in Baltimore, Maryland

Overview

The Program Specialist I is responsible for coordinating the on-boarding of all Fellows, Trainees and Work Study Students including processing payroll, appointments, benefits, visas, orientations, etc. This staff member is responsible for creating/tracking the annual stipend budget, developing/updating all registration and orientation materials, training end users in the trainee on-boarding process and developing all Policies and Procedures relevant to the position and maintaining same on the Kennedy Krieger Institute Intranet. This staff member will coordinate the Trainee Exit Process, all Training Affiliations and Letters of Agreements, the work of the Training Administration and Curriculum Committee (TACC), and works closely with the NIRS Coordinator to ensure comprehensive tracking of current and former trainees.

Responsibilities

  1. Coordinates all components of fellows/trainee and work study student on-boarding to include processing requisitions, registration packets, appointments, benefits, payroll, Visas, orientations, etc.

  2. Works closely with Kennedy Krieger Institute HR and Finance staff to process payroll and benefits; with JHUSOM staff in processing appointments and visas, and with the Kennedy Krieger Institute NDM Coordinator in processing Fellows in the ACGME programs.

  3. Coordinate the parking and ID badge for all trainees and provide the Facilities Office with a current list of trainees eligible to park in Kennedy Krieger Institute facilities.

  4. Develops registration materials and trains end users in the Trainee on-boarding process and maintains all relevant forms and materials on the Kennedy Krieger Institute Intranet.

  5. Develops, in conjunction with the Instructional Design Associate, orientation materials and conducts/co-conducts individual and group orientations.

  6. Develops and tracks the annual stipend budget creating and disseminating quarterly departmental and MCH reports, and provides Director with information on discrepancies and the resolution of same.

  7. Coordinates the Trainee Exit and Certificate of Training process including the Former

  8. Trainee Follow-Up Information and Survey project (including the mini and the 1, 5 and 10 years surveys), and works closely with the NIRS Coordinator in maintaining the database of current and former trainees.

  9. Develops and reviews payroll alert for terminating trainees in a timely manner and resolving all payroll discrepancies.

  10. Coordinates the collection and routing of Training Affiliation and Letters of Agreements.

  11. Attends the Training Administration and Advisory Committee meetings and works closely with the Director in coordinating the work of the committee including the Core Curriculum and Special Presentations.

  12. Assist all trainees in the resolution of problems associated with payroll, benefits, parking, IDs, Visas, etc.

  13. Collaborates with the Director to develop and maintain comprehensive policies and procedures for the responsibilities of the position and provides backup coverage for Administrative Services Coordinator I as needed.

Qualifications

EDUCATION:

High School Diploma or GED required.

EXPERIENCE:

Must have at least two (2) years’ program coordination experience working in an academic or nonprofit environment.
