Johns Hopkins University Medical Training Program Administrator in Baltimore, Maryland

We are seeking a Medical Training Program Administrator for the department of Otolaryngology. This position reports to the Program Director, oversees all aspects of day-to-day administration of large, complex resident/fellowship program(s). May include supervision or administrative staff. May oversee credentialing for trainees.

Specific Duties & Responsibilities

  • Coordinates the Otolaryngology Head/Neck Surgery Residency Program and Clinical Fellows, Post doctoral fellows.

  • Develops expertise and knowledge of regulations and standards as defined by regulatory organizations (ACGME program policies, as well as compliance with Residency/Fellowship Review Commission and the Johns Hopkins Institutional guidelines). Together with the director, ensures that training programs remain in compliance with said standards.

  • In conjunction with the Program Director, designs and develops processes to assure compliance, including design, development and implementation of reliable measurement tools, and documentation systems to provide evidence of compliance.

  • Works closely with the program director in establishing program course schedules, developing marketing materials, brochures, catalogs, requiring planning, coordination, knowledge and understanding of the academic program.

  • Prepare and/or oversee preparation of extensive files/statistics for accreditation purposes of periodic review by regulatory agencies.

  • Develop and direct applicant selection and interview process. Supervises staff in the process involved to coordinate the review of applicants and selection or candidates for interview. Acts as information clearinghouse for applicants and advises coordinator in matters relating to special applicant issues.

  • Ensures that all logistics related to interview process reflect well on institution.

  • Active participant at Selection committee meetings. Takes minutes and compiles data. Develops preliminary rank lists based on faculty scores.

  • Ensures that students are appropriately credentialed. Serves as resource to coordinators of smaller programs within department. Serves as liaison to International Office regarding VISA issues.

  • Develops orientation schedule for students, includes developing/updating/coordinating/and presenting administrative overview. Schedules speakers for clinical and academic-related overview.

  • Reviews returned evaluations and make recommendations for ways to improved program from feedback.

  • Serves as support mechanism/coach for students within scope of training.

  • Develop and manage department residency/fellowship budgets for operating expenses. Ensure that expenses remain within the fund allocated.

  • May be involved in alumni programming for former house staff.

  • Coordinate OHNS Clinical and Research Post-doc Fellows.

  • Process all appropriate paperwork for new appointments/reappointments for Residents, Fellows,

  • Rotators, and Medical Students. For international medical graduates: if not a graduate of a LCME accredited school or on the approved reciprocity list, submit application for reciprocity approval to Associate Dean for Graduate Medical Education. For non-US citizens, submit appropriate visa in accordance with SOM visa guidelines Prepare offer/contract letter.

  • Work with international office to process visa paperwork. Assist hiring Faculty in the level of support needed to hire the post-doc fellows.

  • Keep track/monitor medical license renewal application process. Submit annually Unlicensed Medical Practitioner registrations forms for residents and fellows.

  • Track candidates and receipt of all signed offer letters and attachments. Initiate on-line criminal background investigation. Advise applicants, sponsoring faculty/administrative staff of status of appointments throughout process and when approval is obtained.

  • Compose, edit, type and distribute various letters and correspondence. Create and maintain necessary files. Develop and maintain information to generate various reports for departmental projects.

  • Monitor Malpractice Liability Insurance FTE Reports: review and verify all fellows appointed and insured are listed at the appropriate level and rating class and coded appropriately.

Minimum Qualifications

  • College degree or related relevant experience required. Advanced degree is helpful.

  • Requires a minimum of 4 years of related administrative experience.

Preferred Qualifications

  • Bachelor’s Degree.
