Johns Hopkins University Administrative Coordinator in Baltimore, Maryland

A full-time Administrative Coordinator is needed to provide day-to-day administrative support to the faculty PI of the Wilmer Biostatistics Center (WBC) and the Coordinating Center of an NIH sponsored multicenter international clinical trial on inherited retinal degeneration. The Administrative Coordinator will play an important role in facilitating an efficient, collaborative work environment at the WBC and Coordinating Center and facilitating compliance to clinical trial regulations and policies as well as professional and collaborative communications with clinical sites and other study units.

Specific Duties & Responsibilities

  • Provides office services for faculty PI and team members, such as purchasing, records control, travel and travel reimbursement, maintenance of calendars and phones. Some project budgeting will also be required.

  • Coordinates collection of operations reports, prepares material for Data and Safety Monitoring committee meetings for projects.

  • Formats reports, graphs, Tables, records and other sources of information for reports and manuscripts.

  • Directs special event planning for the PI, such as study group meeting.

  • Operates personal computer to access e mail, electronic calendars, web pages, Access data bases, Excel data bases, various reference manager programs, and other office support software.

  • Assists in manuscript preparation and formatting and submission, acquiring PMC numbers, familiarity with PubMEd and other search engines, and reference manager functions.

  • Abstracts relevant data from study progress reports to create regulatory reports.

  • Other duties as assigned. Some specific duties supporting the clinical trial Coordinating Center include,

  • To maintain an electronic registry of staff names, addresses, telephone numbers, FAX numbers, and e-mail addresses for study personnel at all study units.

  • To do data entry of clinical trial forms requiring Coordinating Center input.

  • To file study-related forms and reports in a secure location.

  • To file study-related regulatory/IRB/ethics related documents in the Trial Master File timely.

  • To maintain a history file of all revisions of all forms.

  • To maintain a history tracker of all versions of the protocol and other key trial documents.

  • To assist with the preparation and assembly of reports.

  • To assist Coordinating Center team members as necessary to meet the needs of the Study.

  • To place orders for materials and track their status.

  • To develop layout and final copy for special study materials such as newsletters.

  • To make travel arrangements for Coordinating Center personnel and for members of various NAC Attack committees.

  • To schedule meetings for Coordinating Center personnel and for members of various NAC Attack committees.

  • To oversee preparation and assembly of Study documents and reports.

  • To maintain office supplies for the Coordinating Center.

  • To make arrangements for Study meetings, including contacting hotels, reserving rooms, arranging transportations, arranging meeting venues, and authorizing payment of bills after approval of the Coordinating Center Director.

Minimum Qualifications

  • HS Diploma or GED.

  • Five years related experience.

Preferred Qualifications

  • Bachelor’s Degree.

  • At least one-year relevant experience at Johns Hopkins University School of Medicine.

  • Experience of coordination with different entities, both within and outside JHU.

Starting Salary Range: $18.00 - $33.50 HRLY ($61,620 Targeted; Commensurate with experience)
