The Accounts Receivable Clerk is responsible for ensuring the timely and accurate collection of payments for goods and services rendered by the company. This role involves maintaining financial records, processing invoices, and managing customer accounts. Key Responsibilities:

  1. Invoice Preparation and Processing:

  2. Generate and send out invoices to customers in a timely manner.

  3. Ensure invoices are accurate and include all necessary information.

  4. Payment Collection:

  5. Monitor and follow up on outstanding accounts receivable.

  6. Contact customers via phone, email, or mail to collect payments and resolve any billing issues.

  7. Process and record customer payments, ensuring proper application to accounts.

  8. Account Management:

  9. Maintain and update customer files and records with current payment information.

  10. Reconcile accounts receivable ledger to ensure that all payments are accounted for and properly posted.

  11. Investigate and resolve discrepancies in accounts.

  12. Reporting:

  13. Prepare monthly, quarterly, and annual financial reports related to accounts receivable.

  14. Assist in the preparation of financial statements and audits as needed.

  15. Customer Service:

  16. Provide excellent customer service by addressing customer inquiries and complaints related to billing and payments.

  17. Assist customers with setting up payment plans if needed.

  18. Compliance and Documentation:

  19. Ensure compliance with company policies and relevant regulations.

  20. Maintain accurate and organized documentation of all accounts receivable activities.

  21. Collaboration:

  22. Work closely with the sales and restoration teams to verify billing information.

  23. Coordinate with other departments to resolve any issues affecting accounts receivable.

  24. Software and Tools:

  25. Utilize accounting software and other tools to manage accounts receivable processes.

  26. Stay updated with software enhancements and implement best practices.

Qualifications:

  • High school diploma or equivalent; associate's degree in accounting or related field preferred.

  • Proven experience as an accounts receivable clerk or similar role.

  • Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite (Excel, Word).

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal abilities.

  • Ability to work independently and as part of a team.

  • Familiarity with basic accounting principles and practices.

  • Experience in the carpet sales and restoration industry is a plus.

Working Conditions:
