AsEvent Services Assistant Managerexecutes all aspects of the written sales agreement and corresponding arrangements between the hotel and customer during the meeting or event. Acts as liaison between the customer and the hotel by directing each department within the hotel as to their specific role in the on-site convention. Successful achievement of this goal will ultimately result in a major contribution to the re-booking of group business for future dates. Maximizes revenues through effective up-selling of products and services. Promotes services for future group business.

What will I be doing?

Specifically, you will be responsible for performing the following tasks to the highest standards:

1. Communicate event arrangement during weekly BEO Meeting

2.Conduct final/technical meeting with MICE & Events and associate parties

3.Prepare MICE & Events specification to ensure clear communication with relevant departments on MICE & Events requirements

4.Conduct MICE & Events rehearsal – if necessary

5.Supervise & execute MICE & Events

6.Supervise & execute MICE & Events

7.Ensure all documents for event is received on time

8.Ensure all additional arrangement such as meeting set-up, date/time, menus, AV requirements, etc. are meets with guests’ expectations

9.Liaise with local authorities for detail events requirement such as confirmed date and time, payment and send all necessary document through appointed agent

11.Prepare thank you letter for clients after the events

12.Billing review with client and ensure no outstanding payment for the balance payment

13.JoinPre-Event meeting with group PIC & associate parties

14.Prepare event run down to ensure clear communication with relevant departments on event requirements

15.Maintains relationships with the event organizer/vendor after the event

16.Updates guest history profile

17.Meets and greets organizer or group PIC on arrival and departure

18.Ensure presence among the couple during the event day and offer assistance whenever needed within the reasonable care

19.Takes necessary action to correct any clients’ dissatisfaction and reflects any problems or clients’ feedback with the appropriate sales person and/or catering person responsible for the event with the guidance from Director of Sales

20. Ensures contact details are properly loaded for post-event SALT questionnaire with Group Coordinator
