Job Description

Job Overview:

The Supervisor of Financial Operations is responsible for leading the day-to-day financial operations project work on the Inspire Media Engine (IME) Operations team. They will help develop and implement processes to ensure client success and must understand the financial and media planning process from client brief to plan execution to improve process efficiency and promote accuracy.

They must be a nimble, self-starter with a passion for the work of bettering both the agency and client’s business. Successful Supervisors manage relationships at all levels, are open to change and evolution and continuously work to identify opportunities for moving the client and agency business forward.

Responsibilities:

  • Partner with Client Finance and Investment Leads to manage the draft billing process and ensure billing is accurate each month.

  • Develop Excel workbook/macros for budget verifications.

  • Manage month-end, quarter-end and year-end close procedures such as: accruals, reconciliations, and adjustments.

  • Lead the day-to-day management of reporting of all budgets. This includes but is not limited to:

  • Monthly client issued reporting

  • Internal forecasting

  • Reconciliation reporting

  • Internal monthly reporting for client billing approvals

  • Manage and coordinate client billing schedules with Clients, Client Finance and Brand Strategy Leads to ensure consistency and accuracy with monthly billing cycles and delivery.

  • Manage and maintain all financial and billing email distribution lists.

  • Play active role in internal and client status meetings when applicable.

  • Help lead internal communication and collaboration across departments.

  • Develop playbooks and presentations that will be shared with internal and external teams to ensure consistency across portfolio.

  • Foster and manage all relationships maintaining contact and building rapport with various departments.

  • Anticipate and resolve internal team and client issues as they are identified and utilize the support of the leadership team as needed.

  • Collaborate with Operations Team to develop and improve processes to ensure data integrity and implement across the agency.

  • Develop and grow junior team members by ensuring goals and expectations are being set and met on an ongoing basis.

Qualifications

Minimum Qualifications:

  • Bachelor’s degree in marketing, advertising, communications, finance or equivalent

  • 3+ years of related experience

  • Ability to work independently and collaboratively with diverse groups

  • Exceptional critical thinking and problem-solving abilities with the ability to think unconventionally in proposing solutions

  • A proven ability to multi-task and manage multiple projects effectively and work well under pressure to deliver high-quality work within tight deadlines

  • Strong attention to detail

  • Proven experience in effectively coaching and developing others

  • Positive attitude

  • MS Office: Excel and PowerPoint proficiency is a must
