Job Description

  • This person will process all department invoices, department credit card info and order equipment/supplies for the office, as needed, so will need to have high attention to detail and accuracy

  • Will support 2-3 VP-level calendars

  • May support upcoming departmental meetings

JOB PURPOSE:

Under minimal supervision, but by established policies and procedures, provides

secretarial and administrative services for high-level management. Or may perform various administrative

and technical support functions to aid in the performance of research. Ensures the most efficient use of

the managers time. Anticipates manager's needs and initiates action to prepare necessary items.

Coordinates and follows up on administrative activities and/ or special projects. Organizes, prepares, and

reviews administrative reports and may assist in the preparation of reports and presentations. Develops and

communicates administrative standards and procedures used throughout the organization. May have

functional responsibility for providing direction to other administrative staff. This position has access to

and regularly works with information of the most sensitive, highly confidential, strategic, and critical nature.

The scope and complexity of this position is such that the Executive Associate is regularly dealing with

diverse matters that require extensive knowledge of the managers area of responsibility.

  1. Supervision: Coordinates a variety of administrative and secretarial duties in support of the manager/supervisor. Is responsible for using independent judgment to resolve internal and external problems that arise daily. Evaluate applicants for employment and make hiring recommendations. May be responsible for directing/coordinating workflow and ensuring appropriate levels of support for no more than 6 administrative positions. Determines when disciplinary actions become necessary and advises supervisor, as well as conducts office staff meetings.

Skills and Requirements

MINIMUM EDUCATION REQUIRED:

Associate degree or two years of college credit in a business related discipline. Four years of directly

related work experience may be substituted in lieu of education.

MINIMUM EXPERIENCE REQUIRED:

Seven (7) years of administrative support experience required. Experience must include meeting

planning, project coordination, and preparation of reports and presentations.
