HANAC, Inc. Program Aide in Astoria, New York

HANAC, Inc. – originally founded by George Douris as the Hellenic American Neighborhood Action Committee – is a New York City-based multi-faceted social services organization. The organization was founded in 1972 to serve the needs of vulnerable populations throughout New York City.  

The Program Aide will assist with the planning and coordination of programs and their activities. Monitor implementation of program policies and practices. Work to keep programs on schedule, within stated budgets, and functioning smoothly. Support program growth and development as necessary.

WORK SCHEDULE: MONDAY-THURSDAY, 8:00AM-2:30PM AND FRIDAYS 8:00AM TO 12:00PM (28 HOURS/WEEK)

RATE OF PAY: $19 PER HOUR

BILINGUAL IN SPANISH OR GREEK HIGHLY PREFERRED

Key Responsibilities:

  • Providing Administrative Support and Technical Assistance to the congregant lunch program.

  • Ensuring the accuracy of daily food costs for the kitchen and preparing necessary forms for funding sources.

  • Assisting Kitchen Staff with Inventory management and prepare independent monthly inventories as per funding source requirements.

  • Reviewing monthly invoices for preparation of the monthly inventory.

  • Managing all DFTA unit data entry through an online system.

  • Coordinating with the kitchen staff to oversee delivery accuracy and storeroom organization.

  • Collecting, photocopying, and logging daily invoices from the kitchen using Excel.

  • Registering new members and facilitating tours of our senior center.

  • Training volunteers in new member registration and program assistance.

  • Providing coverage for Receptionist, Assistant Director, Program Director, or Instructors during absences.

  • Assisting in special event setup, cleanup, and announcements.

  • Aiding in the publication of the monthly newsletter "The Grapevine" and wall calendar.

  • Potentially assisting with activities and lunch distribution at our drop-off site (HANAC Archbishop Iakovos Senior Center).

  • Possible responsibility for the petty cash system and maintaining related ledgers.

  • May be responsible to bank deposit and keeping accurate records of such deposits.

  • Contributing to the achievement of program unit goals.

  • Preparing monthly unit reports for Director's approval and signature.

  • Handling filing, phone calls, and related administrative tasks.

  • Performing bookkeeping, recordkeeping, and reporting as necessary.

  • Providing assistance to the Program Director as required.

  • Performing any other relevant duties as assigned.

    Requirements:

  • High School Diploma/GED.

  • Strong accuracy in data entry, mathematical skills, and report generation.

  • Proficiency in Microsoft Excel and Word.

  • Willingness to learn new software, such as DFTA proprietary, Simple Servings, and Stars Scanning Systems, with training.

  • Professional and friendly demeanor, adhering to appropriate attire.

  • Previous experience working with older adults.

  • Knowledge of bookkeeping principles or prior experience as a bookkeeper is advantageous.

  • Some administrative/supervisory experience is a must.
