Job Description Summary: The Executive Assistant supports the Cybersecurity and Infrastructure Security Agency (CISA) Headquarters. CISA is the Nation’s risk advisor, working with partners to defense against today’s threats and collaborating to build more secure and resilient infrastructure for the future. The Executive Assistant will provide administrative and executive correspondence management support for CISA Front Office and the mission support offices. This role directly supports CISA’s leaders to reduce risks to our cyber and physical infrastructure. They will assist with managing executive correspondence processes and editing, formatting, and coordinating content for written materials for CISA program offices and senior leaders in compliance with DHS and CISA policies and procedural requirements. They will work closely with and communicate routinely with executive secretariat team members, subject matter experts, and stakeholders. The chosen candidate will also have the opportunity use and develop skill sets in the following tools: MS Power BI, MS Project, MS Excel, MS SharePoint, and Adobe Illustrator.

Roles & Responsibilities:

  • Conducting research, preparing statistical reports, handling information requests, and preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

  • Provide internal guidance and coordination regarding administrative functions, management controls, metrics development, standard operating procedures, and general administrative compliance.

  • Ensuring compliance with current administrative policies and task requirements, executive secretariat guidelines, formats, and procedures; drafts responses to written request; corrects and completes clearance documentation; and utilizes acceptable style, tone, and timeliness.

  • Initiating drafts and/or editing responses to letters, memos, briefing memorandum, and other executive correspondence products using template language and standard formatting styles.

  • Uses databases, spreadsheets, and SharePoint tools to track time frames and progress of developing, clearing, and submitting executive correspondence documents and responses to internal and external stakeholders.

    Qualifications/Requirements:

  • A BS/BA degree in a relevant field (Master’s degree preferred).

  • Minimum of 5 years’ experience with at least 3 years in demonstrated experience performing similar duties as listed above.

  • 3-5 years working with MS 365 tools required, particularly Outlook, Excel and MS Teams.

  • 3-5 years managing calendars, appointment settings, arranging large meetings and conference calls.

  • 3-5 years reviewing and editing documents.

  • 3-5 years managing email correspondence.

  • 3-5 years working within strict policies and procedures.

Eligibility Requirements:

  • Must be eligible to receive a DHS suitability clearance.*

Location:

  • Remote/Hybrid

  • One Day a week on-site in Arlington, VA.
