COMPLETE PROPERTY RESTORATION & WIN Follow Up Assistant (APEX OFFICE) Mon-Fri Full Time Position in Apex, North Carolina

As the follow-up assistant you will be responsible for all the late work in the system. You will need to be able to multitask on a daily basis. You will have to respond to a number of emails and answerphone calls from both clients and crews. You will have to be able to run daily reports fromour systems to request daily status from the field crews and update the staff and clients accordingly. The phone calls and emails will accumulate only because there is a lot of late work for which if you are good at your job or on top of the process you should not be getting too many calls. This job required GREAT written and communication skills. the person doing this job must be personable and firm without being rude. Must be able to get results and hold our crews accountable without offending them.

WORK ORDER RESPONSIBILITIES:

  • Assigns and Reassign late work from Vendors
  • Research Bid approvals to ensure they are being assigned to the original crew and approved at the correct pricing
  • Monitors the added queue to ensure work is continuously reassigned
  • Monitors the inbox for crew replies to work assigned to them and updated crews due dates accordingly if it's before clients due date
  • Sends Daily worklist to all crews requesting status on all late work.
  • Follows up on all Yellow and Green orders to ensure they are assigned and on target to be completed in a timely manner.
  • Responds to clients' cancellations of any order by removing them from the system or replying letting the client know it's already been completed and will be uploaded.
  • Answers questions from reps that are onsite and needs further directions
  • The person doing this job must be able to review work from the field to ensurethe required photos are in the system.
  • Creates tasks for submissions staff and ensures they are getting then work submitted in a timely manner.
  • Follow up on work that is kicked back from the clients to make sure it's being worked on
  • Meets with management regularly to advise on work being ready for submissions but not getting submitted
  • Created coverage task and follows up on those tasks to ensure crews are being located
  • Helps with assigning when work being followed up on are not assigned in our system
  • Assists in assigning when other assigning or submissions staff are out of the office
