Summary

This role will be housed within the Division of Nephrology within the Department of Internal Medicine. They will work with a veteran team of other administrative assistants and specialists who are eager to help develop team members. The faculty of the division are wonderful to work with, very kind, and share in an overall spirit of personal and professional development.

Responsibilities*

General Administrative:

  • Provide complex administrative support to clinical and instructional track faculty.

  • Calendar management; schedule meetings and other appointments/engagements

  • Maintain and update faculty CVs in Elements

  • Handle travel arrangements for assigned faculty, including the preparations of itineraries and the coordination of agendas with complex meeting schedules.

  • Procure goods/services using UM Purchasing Card; reconcile P-Card statements using M-Pathways.

  • Prepare comprehensive correspondence and manage complex inquiries.

  • Coordinate visiting professors, including planning visits, developing itineraries, and other extensive travel arrangements, dinners, and other catered events.

  • Execute and assist with event planning for the division.

  • Provide back-up and cross-coverage for other Divisional Administrative Assistants.

  • Other administrative duties as required.

Transplant Nephrology Administrative Support:

  • Support the Transplant Directors and Faculty in their administrative duties:

  • Gather data and statistics

  • Provide insight into various issues

  • Transplant Fellowship Administrator:

  • Work with AST to maintain accreditation for fellowship:

  • Work with the Program Director to assist in developing and coordinating the fellowship curriculum.

  • Create and maintain the Nephrology clinical calendar with QGenda.

  • Balance the clinical effort of faculty with clinical coverage and inpatient coverage rotation needs, while accounting for holidays and vacations.

  • Update Q-Genda with Clinic openings/closing

  • Coordinate with MPLs for clinical Coverage

  • Coordinate Transplant Nephrology meetings/conferences.

  • Liaison between Transplant Nephrology Faculty and Transplant Clinic.

Required Qualifications*

  • Intermediate level: HS diploma or equivalent combination of education with 2-4 years administrative experience

  • Senior level: Associate's degree or equivalent combination of education with 4 years administrative experience

  • Candidate must be self-motivated and demonstrate excellent judgment in problem-solving when developing work priorities.

  • Excellent organizational skills and a high attention to detail and accuracy are a must.

  • Must be able to work independently and as part of a team.

  • Adaptable to change and adopts practices to improve work processes.

  • Expert computer skills in Concur, M-Pathways, Procurement Systems, Microsoft Outlook, Calendaring, Zoom, Teams, and Dropbox.

  • Ability to interact professionally with internal and external organizations (faculty and staff).

Desired Qualifications*

  • Associate degree or equivalent combination of education.

  • At least 4-5 years of supporting faculty or an administrative management team.

  • Audio-visual technology expertise

  • Event planning experience

  • Experience with updating Faculty CVs in Elements

  • Experience with P-Card Management and Processing Expense Reports through Concur

  • Understanding of University Policies and Procedures.

  • Experienced and familiar with Qgenda scheduling

Additional Information

Our team operates under a hybrid collocation plan. Everyone on the team works from home for a portion of the week and on campus for the rest of the week.
