PSC Administrative Assistant Breakdown of Job Duties

Add all anomalies (missed, CNP, labs, positive sticks) to Unusual Screens spreadsheet.

Send daily screening report email to team.

Data entry of individual screen sheet info and lab results. Anomaly sheets and lab results paperwork gets filed, lab sheets get put in the Pending Billing file, and all others get set aside temporarily (recycle sheets at end of the month, keeping only two weeks' worth).

Check Cordant website for lab results. Print result documentation to attach to lab sheets.

Send lab results report email to team.

Create invoices for all labs (exception: BASELINE), add cost to Fees spreadsheet, distribute invoices to CM, and build charge into Odyssey.

Log client payment amounts from receipts in Fees spreadsheet.

Make copies of handbooks and all materials for new client folders for Drug, Mental Health, and Reentry courts.

Add new clients to Fees spreadsheet

Maintain New Client Fees Calendar, which shows start date in PSC program and the date (six weeks later) user fees start.

Make bulk copies of screen sheets and Drop sheets, as needed.

Create claims for invoices and get Judge's signature. Copy and prep signed claims to submit to Auditing.

Maintain ledgers for all grants and funds used to pay expenses by PSC.

Reconcile ledger totals with Low Financial System to make sure that balances match.

Pull colors for the month, record on calendar, and give
