This position provides overall administrative management of a variety of business-related functions including, budget development, financial management of budget vs. actual, and cost center management under the direction of the Practice Administrator. Provides hands-on leadership for all aspects of patient relations, staffing, marketing, insurance, and financial activities to ensure their successful management. Works closely with the Practice Administrator, Nursing Leadership, Department Chair, OR Leadership and the Division Heads to establish and maintain an efficient, cohesive, and productive work team within the entire site and to help the practice achieve the institutional mission of high-quality provision of care for patients.

The Practice Manager for this site must possess strong leadership and professional skills to effectively provide administrative oversight of the Albany Medical Center facility at 1769 Union Street, Niskayuna including but not limited to:

o Serve as a liaison for any outside tenants/affiliate groups in the bldg.

o Serve as the lead manager for all service lines seeing patients on the 2nd floor.

o Work collaboratively with OR Leadership and provide administrative oversight for the Ambulatory Surgery Center and Procedure suite on the 3rd floor.

Minimum Qualifications:

  • Bachelor’s degree or equivalent work experience is required.

  • Proven management skills with a minimum of three to five years of experience working in a leadership role in a medical office or clinical setting.

  • EPIC EMR experience is highly desirable.

  • Must project a professional image, set an example of excellence, and earn the confidence of others.

  • Must have pristine verbal and written communication skills and have experience in and a desire to deal professionally with the public.

  • Exceptional interpersonal and relationship-building skills are required.

  • Must possess a high level of critical and ethical thinking/behavior and be able to deal with difficult situations with a high level of emotional intelligence.

  • Understand principles of quality management and be able to lead and facilitate groups of individuals that emphasize quality, continuous improvement, and high performance.

  • Strong confidentiality skills and have the ability to quickly earn the confidence of others.

  • Self-motivation, swift learning ability and a “can-do,” optimistic attitude is imperative.

  • Must have analytical financial skills, be able to prepare spreadsheets, analyze budgets and interpret information and data.

  • Ability to be a proactive and effective problem solver.

  • Must be HIPAA compliant at all times.

  • Must be willing to complete Albany Med Management Development Programs and any other committee or meeting responsibility as assigned.

Human Resources:

  • Encourage, foster, and sustain a collaborative group culture for staff to support multiple service lines providing patient care at this location.

  • Cross train to provide coverage across service lines.

  • Demonstrate strong working knowledge of Workday to process all necessary transactions related to recruitment, interviewing, hiring, salary administration and job changes.

  • Responsible for recruitment of front-end staff and schedulers along with onboarding.

  • Develop an onsite onboarding and training process after formal classroom training and orientation has been completed.

  • Daily rounding and leadership check ins with all staff, including a Huddle, to provide daily patient volumes, staffing assignments and solutions for any potential setbacks affecting patient care.

  • Maintain effective communication with staff and providers in a timely and effective manner.

  • Prepare annual performance evaluations for direct reports.

  • Implementation of corrective action and performance improvement plans as necessary.

  • Maintain Kronos Payroll platform.

  • Approve and enter time off.

  • Approve payroll.

  • Ensures compliance with all Human Resource policies and procedures.

    Financials and Metrics:

  • Effectively communicate budgeted benchmarks, including, but not limited to, visit volumes, charges, template, and provider utilization.

  • Monitor Key Financial Performance Indicators and implement mitigation strategies to ensure achievement of goals.

  • Monitor Revenue Integrity reporting.

  • Assists Administrator as requested during budget preparation and manages the overall operating budget for the site.

  • Investigate discrepancies and significant changes in monthly income and expenses and report to the Administrator.

  • Ensure proper invoicing and tracking of receivables and payments to vendors within Workday.

  • Assess the needs, in collaboration with staff, for annual expenses.

  • Evaluate and negotiate with vendors in conjunction with the Administrator to procure capital equipment, process purchase orders and coordinate installation and servicing.

Operations:

  • Monitor Key Operational Performance Indicators and implement mitigation strategies to ensure achievement of goals.

  • Audit performance of sites for compliance with standards, policies, and procedures.

  • Ensure completion of regular tracking reports and tasks through EPIC Manager Dashboard and other external reports.

  • Report anomalies to Administrator in a timely manner.

  • Together with clinical nursing leadership, ensure compliance with all governing regulatory authorities surveying Albany Medical Center.

  • Serve as a resource for facilities management for any repairs, equipment service contracts or other building needs .

Patient Satisfaction

  • Focus on outstanding patient service and train and hold staff to the same expectations.

  • Manage elevated patient grievances and coordinate service recovery efforts when needed

Management Support and Other Tasks

Demonstrate mastery of systems, including but not limited to:

  • Microsoft Suite applications

  • EPIC EMR

  • Workday ERP

  • Kronos Payroll

  • Health Stream

  • CPSC

  • Assists Practice Administrator in development and evaluation of departmental policies and procedures. Assists Practice Administrator in Practice-wide special projects. Collaborate with Practice Administrator and physician leadership to develop and implement strategies to grow patient base and expand services. Demonstrate and maintain discretion at all times to ensure patient and employee confidentiality.
