THE OPPORTUNITY

As a Document Controller within our team, you will be exposed to one of the world’s most exciting projects working with ground-breaking and innovative technologies.

You will be working in multinational and multidisciplinary project teams and provide high quality services to our clients.

Project Work

The role is required to support the delivery of strategic projects/ contracts for the Royal Commission of AlUla (RCU). Support RCU and their consultants to ensure that suppliers are delivering on their contract obligations. Management and support of the RCU procurement process.

This role is required to prepare and manage documents, material submittals and correspondences in timely, accurate and efficient manner. Support RCU to ensure all technical and construction deliverables are uploaded and transmitted in Oracle ACONEX system and other documentation platforms.

Key Responsibilities

  • Production of reports, presentations, minutes of meetings and monthly reports, weekly reports per the standard templates.

  • Maintain registers of all receipts and issues or submissions of documents and correspondence.

  • Expedite the return of documents and approvals or comments within the required time from internal and external parties to whom they have been issued or distributed.

  • Maintain document logs for correspondence, material approval submittals, shop drawing, RFI (incoming & outgoing).

  • Ensure compliance with quality assurance requirements at all times.

  • Coordinate engineering key performance indicators.

  • Document Numbering and Coding System based on project’s Work Breakdown Structure (WBS)

  • Project Filing System for both electronic and hard files

  • Electronic Data / Document Management System (EDMS) prescribed by the Client

  • Review and approval workflow processes for major project documents (drawings, materials submittals, NCRs, RFIs, DFCs, Method Statements, Specifications, Inspection Test, etc.)

  • Standard Forms to be used for the project such as Transmittals, Drawings Review Comments Form, Material Submittal Approval Form, Design Field Change Form, NCR Form, RFI Form, etc.

  • Keep track of all Documents, Correspondences and Transaction using Electronic Document Management System (Aconex, Bentley, Primavera-Unifier, Wrench and DLM)

  • Sound knowledge of Engineering Documentation and Technical drawings Such as, Issued for Construction (IFC),

  • Liaising as necessary with Client document control groups, Contractors staff, EDMS Implementation Specialists and IT team.

  • Keeping record and custodian of all confidential documents (Contract Docs, Statutory Bodies, Agreements, etc.).

OUR IDEAL PERSON IS SOMEONE WHO:

  • Holds a 4-year university degree with a major in Computer Science or equivalent

  • A minimum of 10 years’ experience in similar Engineering technologies and methodologies, with 5 years of this being in Saudi Arabia

  • Is technically strong with robust experience in design & construction environments, documentation management to ensure 100% compliance with RCU processes & procedures the specifications in the delivery of the utility works.

  • Possesses an excellent working knowledge of the following software packages: Microsoft Office (Excel, Word, PowerPoint & Outlook), Aconex, Share Point, Primavera-Unifier, Bentley, Project Wise, Wrench, Union square (DLM), Adobe Acrobat DC (PDF), Citrix, Auto cad

  • Is fluent in English, verbal and written with Arabic and other languages being a huge plus.
