*The Opportunity: *We are seeking to hire a Administrative Specialist to join our Administration Team. Under the supervision of the Director of Administration and guidance from the Lead Administrative Specialist, this individual performs a variety of clerical/administrative support tasks requiring proficiency in word processing, spreadsheets, independent judgment, and accuracy.

 

What You'll Do:

  • Attend assigned team meetings and accurately record and transcribe minutes for the record, with grammatical proficiency.
  • Collect and process data to update and maintain the Electronic Health Record (EHR).
  • Schedule appointments as directed for staff and/or clients utilizing the EHR.
  • Process various forms, documents, reports, memoranda, etc using Microsoft Word and Excel clearly, concisely, and accurately.
  • Organize and compile information into files, paper and electronic records, and reports in order to make them readily accessible to self and others as necessary.
  • Assist others, including the public, by providing related assistance, answering and/or referring questions appropriately to a satisfactory conclusion.
  • Maintain a courteous and professional manner with both internal and external customers.
  • This position is full-time (40 hours a week) working normal business hours.

     

What We're Looking For:

  • High school diploma/GED required.
  • Training or courses in secretarial/business, keyboarding, office machine operations, and office procedures.
  • A minimum of three years of clerical/secretarial experience or equivalent. Experience in electronic recordkeeping preferred.
  • Ability to type 45 words per minute with skill in taking shorthand, using dictation equipment, or speedwriting/note taking.
  • Excellent organizational, attention to detail and communication skills.
  • Ability to work in a team environment.
  • Commitment to confidentiality, following rules of HIPAA.
  • Proficiency in Microsoft Outlook.
  • Skill in managing time and meeting deadlines.
