[Position Overview: [We are seeking a highly organized and detail-oriented Procurement Specialist to join our team. As a Procurement Specialist, you will be responsible for the acquisition and shipment of all project materials, supplies, and other goods across the Company. You will determine the best sources of materials and negotiate with existing and potential new vendors to provide goods, services, and freight at the best overall value to the Company with an emphasis on just-in-time deliveries and efficient shipping methods. Create Purchase Orders accurately and efficiently for materials and services as requested by authorized HES personnel. Send Purchase Orders to vendors, utilizing vendor-specific order entry systems as required. Ensure that any special volume pricing, discount authorizations and the like are applied.
Coordinate shipping of each order to ensure accurate documentation, correct shipping address and on-time arrival at the lowest possible cost.
Communicate with internal and external customers as needed on product shipment and delivery status. If items are backordered or have a long lead time, notify the requester immediately.
Ensure that an accurate inventory of all job stock (field and panel materials), stock, and open stock is maintained. Communicate proactively with Engineering team and other stakeholders about what is being stored in our warehouse(s).
Transfer parts to/from stock and projects in real-time in our accounting system.
Ensure that excess inventory is being reused for projects whenever possible and that stock rotation is being actively managed in order to maximize warranty coverage.
Handle all equipment returns, RMAs, credits, etc. to ensure that replacement parts are received, or invoice credits are provided as applicable.
Negotiate with existing vendors, whenever possible, to ensure that the Company is receiving the best possible value. Follow direction when certain vendors are specified for products due to business reasons beyond price.
