Summary:

The Administrative Assistant I – T&D will be responsible for supporting the T&D Equipment & Tooling group with day-to-day administrative functions in the Weatherford office, as well taking ownership over certain routine functions of the group. This position is based in Weatherford, TX.

Requirements :

  • Provides administrative support to the T&D Equipment and Tooling department, which includes data entry, documentation and submission of financial and other records, processing service department records, and as needed, assists with site onboarding documentation/I9 process and processing employee transfers.

  • Handles the PO Hotline during work hours, which includes identifying the required information from the field in order to obtain PO from financial management system and return PO to the field within established time frames.

  • Completes entries into ToolWatch® as directed by Equipment Manager.

  • Maintains and organizes business unit files on SharePoint ToolWatch®, and Procore.

  • Responds proactively to a wide variety of requests with expeditious action and with a positive, consultative approach.

  • Coordinates shipments of documentation and materials via FedEx, USPS, UPS, etc.; receives and processes incoming and outgoing mail deliveries.

  • Maintains and updates operational documents such as processes, templates, indices, reference materials, etc.

  • Operates Company aligned vehicle for completing T&D Equipment and Tooling errands, including shipping, mail service, and purchasing supplies.

  • Attends work regularly and punctually, as scheduled or expected.

  • Complies with Employee Handbook, Code of Conduct and Company Policies & Procedures.

  • Presents, supports, and leads-by-example with a safety and quality-oriented attitude.

Knowledge, Skills & Abilities:

  • MSOffice: Intermediate skills in MSOffice (Word, Excel, PowerPoint, Project) and MS Outlook; ability to manage multiple calendars in Outlook.

  • Ability to use ToolWatch® preferred.

  • Knowledge of SharePoint preferred.

  • Ability to handle details, access to information and conversations that may be of a highly sensitive nature in strict confidence and in a professional manner.

  • Ability to perform duties with a high attention to detail.

  • Ability to prioritize, handle tight deadlines and last-minute changes in a fast-paced environment with multiple stakeholders.

  • Ability to solve practical problems and deal with variables in situations where only limited standardization exists.

  • Ability to adapt with customer service focus, anticipate needs, and solve problems independently.

  • Excellent communication skills with customer service focus, and ability to communicate effectively with all levels.

  • Strong interpersonal skills

  • Ability to act with limited oversight on day-to-day responsibilities and balance multiple priorities, as well as appropriate seek information and solve problems within scope of work; comfortable taking ownership of stretch personal assignments outside of day-to-day responsibilities.

  • Functional competencies include accountability, attention to detail, customer focus, communication and teamwork.

Qualifications:

  • High School Diploma/GED required, Associate’s Degree in Business, Construction, or related field preferred.

  • 2+ years of administrative support experience, office support, and /or system administration required.

Anticipated base salary range: $22.20/hr. - $25.77/hr.

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is bonus eligible.
