ASRC Federal Holding Company Executive Assistant in Washington, District Of Columbia

Responsibilities

  • Manages the calendar of a high level government executive, including tracking location, and meeting attendance, proactively adjusting meeting conflicts, and managing his/her time.

  • Coordinating with internal and external stakeholders to confirm and coordinate meetings, logistics, and details. Works to ensure activities within the office occur in a smooth and efficient manner.

  • Proactively engages in planning administrative and logistics support for designated meetings, launches and high level events.

  • May perform other related administrative and coordination tasks in support of customer activities. Works independently with limited supervision to successfully plan, organize, and implement support activities.

  • Serves as an interface with staff and NASA leadership to coordinate and/or track deliverables and actions. Assist in providing project analysis and administrative support, including the integration of various inputs and data sets, editing letters or correspondence, and compiling information. Ensure process and documentation are consistent with SOMD and NASA policies. Coordinate with various stakeholders on completing deliverables

  • Coordinates travel for government staff including booking travel and related approvals, and handling vouchers.

  • Additional projects will involve coordinating issues with government and international personnel nationwide, analyzing data providing statistical analysis, creating reports, producing metrics or assisting with special projects. Potential to assist with the generation and compilation of SCaN presentations and deliverables. Proofread and edit deliverables for consistency, clarity and proper formatting. Generates presentations, charts, graphs, correspondence, spreadsheets and other similar documents related to office activities.

  • ndividual will be responsible for uploading files regularly to a central online repository. He/she will also be expected to use online applications to schedule meetings, enter data, organize document files, track meeting actions and other tasks.

Please note: This position is onsite at NASA HQ in Washington, DC, likely 4-5 days a week. It is potentially remote when the NASA customer is on travel, but the majority of the time may be onsite in person in order to support face to face meetings and regular activities.

Requirements:

  • Must be proficient with MS Office (Word, Excel, PowerPoint and Outlook), advanced MS Excel and PowerPoint preferred.

  • Ability to multi-task and successfully meet deadlines in a timely manner.

  • Strong organizational skills, attention to detail and ability to work in a fast paced environment.

  • Possess strong interpersonal and communication skills.

  • Team player as well as able to work independently.

  • Must be U.S. Citizen and be able to obtain a government issued Secret clearance.

Education/Experience:

A Bachelor’s degree is required, as well as at least 5 years’ experience or more. NASA experience is greatly beneficial.
