SAIC Documentation Manager in WASHINGTON, District Of Columbia

Description

SAIC is seeking a highly qualified Document Manager to support process creation and document management activities in a fast-paced environment for the Vanguard 2.2.1 contract within the Department of State (DOS). The Document Manager will directly support the QA Director and will be responsible for supporting document management and process creation tasks related to helping several DOS customers obtain and maintain their ISO/IEC 20000-1:2018 (ISO 20K), ISO20001:2013 (ISO 27K) and ISO 9001:2015 (ISO 9K) certifications. This includes drafting and documenting the DOS Customers’ processes and procedures, using expert O365 skills to format and standardize documentation, as well as supporting document and records control management practices of our customers.

The role is hybrid and the team currently reports onsite on Monday and Tuesday.

Responsibilities include:

  • Manage multiple, high, & competing priorities in a fast-paced, constantly changing environment.

  • Work with internal teams to obtain an in-depth understanding of the systems / processes / procedures and the documentation requirements.

  • Write technical and process documentation for various audiences, including but not limited to Software Design Documents, Requirements, Deployment Plans, Policies, Procedures, SOPs, Job Aids, Training Material, and Work Instructions.

  • Learn complex technical information and communicate it in a readable, concise, and accurate manner to both technical and non-technical staff.

  • Train other stakeholders and implement appropriate document control and records management practices, and formatting requirements.

  • Coordinate and monitor an entire document management workflow process from drafting a new document, getting formal approval from senior leadership for the team’s use, and archiving/retiring when necessary.

  • Maintain and lead the document review schedule that utilizes best practices from the ISO 20K, ISO 9001, and ISO 27K standards.

  • Support with updates to important tasks within SharePoint logs/dashboards to track and monitor key activities within the customer’s ISO certification activities.

  • Support multiple projects at any time and in various phases (start, middle, or end). E.g., may need to pick up a project that is incomplete/partially done and complete it.

  • Work with various levels of government customers and contractor staff and be comfortable communicating to the different audiences.

  • Work on different types of tasks from beginning to end with minimal input.

  • Work with various teams on documenting their processes by using various inputs to create a single cohesive process document or task output.

  • Able to attend various customer meetings and supporting several customers at once.

  • Use templates and style guides to support standardized document processes and outputs.

  • Using intermediate to advanced O365 skills to support document formatting requirements for various customers. Examples include:

  • Helping with MS Word Table of Contents/Section Header application.

  • Using PowerPoint to develop a template using the Master Slides feature.

  • Updating a workflow using Visio.

  • Upload various documents to a SharePoint Library using the correct meta tagging fields.

  • Using MS Teams to collaborate and share content.

Qualifications

Required Education, Experience, & Skills:

  • Bachelor’s degree and 6 years of related experience; Masters and 4 years; may accept additional experience in lieu of a degree.

  • Strong skills in the Department of State’s collaborative and document storage tools – SharePoint and MS Teams. Must be comfortable using these tools.

  • Speaks and writes fluent, grammatically correct English.

  • Strong attention to detail and strong time management and multitasking skills.

  • Self-start and problem solver.

  • Experience working with multiple high priority tasks simultaneously and comfortable in a high-paced environment.

  • Experience working with government customers and senior level leadership.

  • Strong soft skills - must work well within teams and be a strong team player and collaborator.

  • Must be able to take direction and feedback by using agile approaches to move projects forward.

  • Must be able to work with various stakeholders to receive inputs and follow up to close out projects in a timely manner.

  • Strong oral and written communication skills across all levels. Ability to communicate concepts to personnel at all levels of experience and responsibility.

  • Experience researching and writing excellent documentation and examples for senior system administrators, business analysts, and/or developers.

  • Strong experience with MS Office to include Word, PowerPoint, Visio, Excel, and Project. Ability to quickly troubleshoot within the MS Office tools if new errors or issues pop up.

Required Clearance:

  • US Citizenship.

  • Ability to obtain secret clearance.

Desired Education, Education, & Skills:

  • Supported an organization that has a best practice certification (ISO 20000, ISO 9001, ISO 27000, and/or CMMI.

  • ITIL V4 certification.

  • Microsoft Office certifications (e.g., MS Word Expert).

  • Project Management experience/certifications.

Target salary range: $75,001 - $100,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.
