Position Overview:

We are seeking a highly organized and proactive Office Administrator to join our team. This role involves a blend of general office duties and providing administrative support to our out-of-market staff. The ideal candidate will be a versatile problem-solver with exceptional communication skills and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Perform general office duties, including but not limited to, handling phone calls, managing mail and deliveries, maintaining office supplies, and ensuring the office environment is tidy and functional.

  • Provide administrative support to out-of-market staff, including scheduling meetings, coordinating travel arrangements, and assisting with document preparation and management.

  • Serve as the first point of contact for visitors, offering a warm welcome and assistance.

  • Manage calendar appointments and meeting room bookings for company executives and teams.

  • Assist in the preparation of regularly scheduled reports and presentations.

  • Support the HR department with the onboarding process of new hires, including preparing welcome packs and coordinating orientation sessions.

  • Facilitate internal and external communication by distributing relevant company information as required.

  • Liaise with IT support for any office equipment and technology issues, ensuring a swift resolution.

  • Undertake special projects and ad-hoc tasks as directed by management.

    Requirements:

  • Proven experience as an office administrator, office assistant, or relevant role.

  • Strong organizational and planning skills, with a keen attention to detail.

  • Excellent communication and interpersonal abilities.

  • Proficiency in MS Office and familiarity with office management software (e.g., ERP systems).

  • Ability to work independently and as part of a team in a fast-paced environment.

  • High school diploma; additional qualification in Office Administration or a related field is a plus.
