Summary About the Position: Serve as an Executive Office Administrator and Receptionist for the District Commander and Executive Office responsible for conducting the day-to-day administrative support of the Executive Office to include: set-up and hosting of in-person and virtual meetings, in-depth calendar management, extensive travel arrangement and vouchering, establishment and maintenance of Executive Office files, and coordination with headquarters, internal and external agencies. Responsibilities Establish and maintain Standard Operating Procedures (SOPs) for various functions of the Executive Office. Provide occasional administrative support to the Outreach Coordinator with on-going liaison activities between congressional and intergovernmental offices. Receive all internal-external mail, calls, visitors, and staffing actions for the Executive Office. Provide extensive travel arrangement support to the Executive Office. Create travel orders and complete travel vouchers in accordance with the Joint Travel Regulation (JTR), Government Travel Charge Card (GTCC) Regulations and established agency guidance. Exercise complete authority over District Commander and Deputy Commander calendars reflecting their schedule of appointments, conferences, and special activities; obtain purpose, audience, duration. Provide for the set-up and hosting of meetings as necessary. Type a variety of memorandums, letters, and reports to and from internal and external agencies ensuring compliance with Army Regulation 25-50. Requirements Conditions of Employment Qualifications Position may be filled as a temp appointment NTE 120 days. Temporary appointments may be extended up to a maximum of three (3) years. Current permanent Federal employees (to include permanent Army employees) applying for a temp appointment will be appointed/converted into a temp appointment with no statutory return rights back to a permanent position. Minimum Qualifications for the GS-09: Specialized Experience: One year of specialized experience equivalent to the GS-08 grade level in the Federal service which includes performing administrative functions such as maintaining calendars for officials; coordinating with other offices such as resource management, human resources, and/or outside agencies; preparing internal and external correspondence; and utilizing office automation applications such as Microsoft Outlook, One Note, and MS Teams, to complete daily office tasks. You will be evaluated on the basis of your level of competency in the following areas: Administration and Management Clerical Computer Skills Oral Communication Time in Grade Requirement: GS-09 Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent GS-08.
