Position Summary
The Human Resources & Faculty Affairs Generalist is responsible for coordinating the day-to-day human resources, academic affairs, and payroll functions within the Department of Medicine. Additionally, the HR/FA Generalist provides essential support to the Medicine HR core team and divisions.
Responsibilities
Recruitment and Onboarding:
- Assist with the recruitment procedures: securing approvals, drafting job descriptions, and posting positions on Columbia's job sites (TalentLink and Interfolio) as well as external advertising sources.
- Assist with managing applicants, initiating SkillSurvey reference checks for staff, coordinating pre-hire background checks and employment clearance.
- Take responsibility for onboarding staff, faculty, researchers, and students. This includes scheduling welcome programs, managing medical surveillance, and generating UNIs for systems and email access.
- Communicate with new hires and departments to ensure a smooth onboarding experience. Initiate and process template-based hires in Peoplesoft and/or nominations, ensuring accurate collection and processing of information in PAC.
- Process all short-term visitors and students using JIRA.
Payroll and PeopleSoft Process Management:
- Manage the collection of timesheets for hourly staff and process bi-weekly payroll.
- Facilitate processing of all changes to university and hospital appointments, including leaves, resignations, title changes and all payroll related transactions for all divisional faculty and staff.
- Process employment-related changes in TalentLink and via PAF, including updating position numbers for promotions or reclassifications, managing leaves of absence and terminations, and ensuring PeopleSoft updates.
- Collaborate with internal and external stakeholders to resolve issues and ensure timely processing of new hires, appointments, reappointments, terminations, and other related transactions.
Compliance and Immigration:
- Assist with the preparation and processing of payroll and time off tracking sheets. Verify time off trackers for Officers and ensure submissions are up to date and approved by supervisors.
- Coordinate the annual reappointment of all fulltime and part-time faculty and fellows at the University as well as biannual clinical reappointment at NewYork-Presbyterian (NYP).
- Track and ensure members of the department remain in good standing with University and Hospital compliance requirements.
- Support immigration-related needs for faculty and staff, assisting with visa sponsorship (F-1, J-1, H-1, O-1, TN-1) and preparing visa documentation.
- Process new visas and renewals using Compass.
Systems and Project Work:
- Utilize the ServiceNow HR Ticketing System to manage requests and communicate effectively with the Medicine HR core team and divisions.
- Maintain and update employee records, uploading all forms and documents into an electronic record system.
- Manage special projects as assigned and perform other related duties as needed.
Minimum Qualifications
- Bachelor's degree or equivalent in training, and /or experience plus a minimum of three years related experience.
- Experience in human resources or administrative roles.
- Strong organizational and multitasking skills, with the ability to prioritize and follow up on multiple tasks in a time-sensitive manner.
- Skilled at working under pressure with minimal supervision, demonstrating sound independent judgment.
- High degree of professionalism, diplomacy, discretion, firmness, and collaboration in dealing with individuals at all levels.
- Strong analytical and tenacious problem-solving skills.
- Proficiency in Microsoft Office, including databases and advanced spreadsheet skills.
Preferred Qualifications
- Bachelor's degree in Human Resources or a related field.
- Familiarity with university policies, procedures, and systems.
Other Requirements
- Successful completion of applicable compliance and systems training requirements.
