Job Summary: We are looking for a qualified Sales administrator to join our sales team and help us achieve our goals. You will serve as a point of contact for customers with queries about products, orders and deliveries and provide support for sales representatives. Our ideal candidate is goal-oriented and has a deep knowledge of customer service best practices. Essential Duties & Responsibilities: Provide administrative support to the Sales department to support their overall goals and objectives Manages the complete order process from order entry to invoicing Handles order tracking, status updates, and customer notification of any changes Utilizes various platforms for pricing, delivery dates, inventory and other data related to each transaction Completes contract review of orders ensuring a complete understanding of the customers? requirements and verifies customers? address, billing/shipping terms, PO against quote, PO content against quote, and PO references to valid quote for order acceptance Interacts with suppliers, vendors, and factory to expedite orders Maintains thorough knowledge of company?s products and understanding of structure Develop reports, presentations and spreadsheets from notes, verbal instructions or documents as required. Organize and distribute reports for visits to representative?s territories. Utilize Seasoft to complete weekly, monthly and quarterly reports based on information provided by Sales personnel. Prepare quotations, contracts, special sales reports and materials as required by Sales department personnel. Management of the customer contact data base and execution of mass marketing communications. Maintain quote tracking system, customer-initiated supplier performance reports, sales leads, point of sales reports and other sales monitoring programs as assigned.
