Responsibilities:

  • Oversee daily operations for all mail, shipping & receiving and logistics services provided by our associates across the enterprise.

  • Ensure our associates are providing high levels of customer services and meeting all our SLAs and KPI requirements.

  • Daily management and human resources functions for all associates, e.g., onboarding, writing annual reviews etc.

  • Ensure all associates are trained on routine job duties and adhering to all safety protocols.

  • Producing and reviewing all required and client-requested reporting, including monthly reports, quarterly business reviews and other Ad-hoc and custom reporting

  • Serve as a key liaison from the Facilities team to other departments, e.g., IT, Security, Marketing and Executive Admins

  • Oversight of all mail and shipping vendors, including Courier Companies and Postage Meter Vendors.

  • Initiate communication and problem solving with regard to customer concerns.

  • Recommend Service Enhancements & Value add to clients

  • Development of procedures to ensure the highest level of service and accountability. This is a working manager as well as leadership role and requires ability to perform all associate tasks when needed, which include:

  • Providing a high level of customer service to end users seeking assistance in person or via email, phone and chat.

  • Receive and process all inbound & outbound, domestic and international mail and parcels which include FedEx, UPS, DHL, USPS, etc.

  • Utilize PDAs and the Mail Management system to maintain all package & mail inventory.

  • Deliver mail to designated mail rooms on each floor.

  • Deliver packages to each person individually and maintain full chain of custody.

  • On occasion, offload palleted packages, crates of equipment and/or merchandise from shipping companies.

  • Order, stock and maintain copy/mailrooms with supplies (i.e., copy paper, general office supplies).

  • Stock printer paper for all copiers and printers on campus.

  • Complete other special deliveries on campus as required.

  • Ensure safety and security procedures are followed at all times.

  • Enter activity data in logs, maintain records.

  • Maintain cleanliness of workspace throughout shift.

  • Other duties as assigned.

    Qualifications:

  • 4-year college degree is preferred; or equivalent experience in related field.

  • Experience working in a corporate environment preferred.

  • Domestic travel is up to 30%.

  • Requires proven track record of operations leadership.

  • 3-5 years' experience managing a team in mailroom and/or shipping & receiving operations.

  • Strong knowledge of mail and shipping operations, including international.

  • Excellent verbal and communication skills.

  • Advanced working knowledge with MS Office or GSuite applications.

  • Strong project management skills

  • Ability to lift up to 50 lbs. on a regular basis.
