Southwest Material Handling Inc Rental and Transportation Coordinator in Mira Loma, California

Job Summary

The primary responsibility of this position will be coordinating the ordering and delivery of equipment entrusted to the rentals and transportation department. This position works with the Rental Manager and Rental Administrator to ensure that rentals are available and ready for delivery, transportation paperwork is accurately prepared, and drivers are efficiently dispatched.

Job Responsibilities :

Rental

  • Primary for incoming rental inquiries from internal & external customers

  • Quote pricing and availability of rental equipment

  • Process Sub-rent Orders (including updating purchase orders, selling out sub-rent ID's)

  • Make sure sub-rent billing is done correctly and profitably

  • Enter rental invoices in the Toyota Portal and directing invoices to the correct billing management company.

  • Maintain customer rental contracts & ensure rental invoices are billed timely & accurately.

  • Process COD payments (credit card payments on rental invoices)

  • Schedule Rental Planned Maintenance

  • Follow up internal rental requests in a timely manner

  • Maintain daily updated Rental inventory report

    Transportation:

  • Dispatch transportation of equipment (rental/sold/shop work) Backup to coordinator

  • File rental, & transportation documents

  • Mange DOT DVIR, Driver Logs and IFTA fuel receipts

  • Make Inside Sales calls promoting rental business with current and potential customers.

  • Other duties as assigned by management

  • Schedule the transportation of all incoming and outgoing units, including new, used, demo, rental, lease returns, trade ins, shop repairs, etc.

  • Communicate in a timely manner all deliveries and transfers to the appropriate SWTL associates and customers

  • Stage driver loads when possible

  • Ensure the accuracy of all shipping and receiving paperwork

  • Process transport driver’s paperwork and review labor

    Other Responsibilities:

    Perform related duties as assigned by management.

Qualifications

Job Qualifications

  • High school graduate with college courses in business administration preferred

  • Service department, retail, or warehouse experience preferred

  • Enthusiastic demeanor

  • Organizational and time management skills

  • Good oral and written communication skills

  • Ability to accomplish goals and meet deadlines

  • Must be reliable, report to work on time, follow directions and get along well with coworkers and management personnel

  • Expected to attend training classes when offered by management

  • Appearance must be neat and professional

    Physical requirements

  • Must be able to repetitively stoop, bend, push, pull, squat, climb and kneel on a regular basis

  • Must be able to operate computers

  • Must be physically able to repetitively lift 50 pounds unaided (must ask for assistance if lifting over 50 pounds)

  • Must be physically able to speak and interact with other company associates

  • Must be physically and mentally able to read, write, and follow directions

    Competencies

  • Office skills: Ability to use a 10-key calculator

  • Computer skills: Ability to use a computer using both Company software as well as general management software (Microsoft Word, Excel)
