Job Title: School Secretary, Senior - FAIR (2017-2018) and Requisition ID number: 49669 Close Date: 11:59 PM on 05/24/2017 Organizational Unit: FAIR Senior (10001032) Site: FAIR (0297) FTE: 1.0 FTE; 40 hrs/wk; this is based on full-time equivalency with 1.0 being full time Union: AFSCME(29) Functional Area: Clerical Resume and Cover Letter are mandatory to apply for any position. **************************************************************************************** SUMMARY Under general supervision, provides professional secretarial support and operational supervision for an MPS school site; provides information and assistance to MPS staff, students and clients; resolves operational issues, using knowledge of the operations and policies of MPS. ESSENTIAL FUNCTIONS * Provide professional secretarial support for the School Principal; perform supervisory and administrative support duties for assigned school site within scope of authority and makes appropriate decisions based on experience. * Assist with developing and implementing school and office policies and procedures; apply judgment and knowledge of the operations of the school to resolve problems and make work process decisions; refer matters requiring policy interpretation to supervisor for resolution. * Complete and coordinate special projects; assist with developing and managing budgets, and monitoring expenditures; coordinate school functions and usage of school facilities; review and approves building and special use permits; maintain accounts for budget, grant funds, purchasing, payroll, timekeeping, transportation, enrollment, attendance, registration, and records requests. * Keep daily attendance records for staff and records of overtime and compensation time; coordinate reserve and substitute teachers, class coverage, and classroom assignments. * Maintain computer database and files; enter data; research electronic and paper files, records, and documents; review and update statistical information, reports and technical documents. * Prepare, compile and distribute school calendar, information packets and other communications; order, receive and distribute supplies and equipment; monitor school security system and manage key controls. * Supervise, train, cross-train and review the work of clerical and support staff. * Provide customer service, information and assistance to MPS staff, students, parents, visitors and others having business with MPS; coordinate communication at school site; access MPS files, and locate information for clients, staff, local agencies and others as authorized; interpret and explain MPS rules, policies and procedures. Knowledge of * Specialized MPS and state agency software applications and network operating environments. * Principles and practices of public sector administrative staff supervision. * Customer service principles, protocols and methods. * Local community resources and community services programs. * Principles of record keeping, records management, office practices and procedures. Business and personal computers, including spreadsheet, word processing, and database software applications. * Professional standards for business correspondence, writing, spelling and grammar. * Preferred knowledge of MPS organization, operations, policies and procedures.
