Administrative Assistant II

Alliance Defending Freedom is looking for a highly professional Administrative Assistant II to join our Lansdowne, VA office. As an Administrative Assistant II, you will assist the Director of Allied Legal Affairs (ALA), Director of Allied Attorney Relations, Senior Counsel, and other ALA team members as assigned with travel arrangements, conference registrations, related receipt reimbursement, bar registrations, CLE compliance, and other administrative support tasks. In addition, you will be responsible for tracking Attorney Network members, including managing data in various databases and preparing related reports.

Your Essential Responsibilities:

In this position, you will:

  • Act in a confidential capacity

  • Anticipate and meet needs related to daily agenda items, attorney training events, Attorney Network live and online event execution, and Allied Attorney engagement

  • Coordinate workflows with ALA team members and with members of other teams, e.g., Blackstone, Communications, etc

  • Prepare and coordinate travel itineraries

  • Prepare expense reports for reimbursement and vouchers to submit invoices for payment

  • Manage bar applications, bar registrations, and CLE compliance for ALA attorneys

  • Manage Outlook calendars and coordinate and schedule meetings

  • Add/update Network Attorneys’ contact, professional, and personal information in appropriate software systems (e.g., Reliance and Hivebrite) as needed or requested

  • Generate Attorney Network reports and other data as needed or requested

  • Support the Attorney Network Relations Manager and Attorney Network Project Coordinator with overflow projects as needed or requested

  • Answer phones and welcome visitors (clients, ministry friends, attorneys, etc.); fax, scan, copy, and collate documents; prepare UPS/USPS/FedEx shipping labels, packages, and letters; create, maintain, and organize hard copy files; and create/edit presentations, correspondence, memos, reports, graphs, organizational charts, faxes, and emails

  • Manage monthly and annual reporting

  • Coordinate events to support ADF’s Summer internship & legal fellowship programs for VP of Client & Alliance Engagement

Skills you need to succeed:

Demonstrated proficiency in:

  • Microsoft Office software, including Word, PowerPoint, Excel, and Outlook

  • Excellent organizational and time management skills

  • Strong internet research skills

  • Strong written, verbal, and interpersonal communication skills

  • Strong grammar and proofreading skills

  • Excellent customer service skills

  • Coordinating multiple schedules

Education and/or experience:

  • Requires 3+ years of administrative experience
