Description

We are looking for a diligent Administrative Assistant to join our team in El Monte, California, United States to ensure the efficient operation of our office and its branches. Your role will involve a wide range of administrative duties, including processing business licenses, managing company assets, and providing support at company events. This role offers a contract to hire employment opportunity and is a key function within our industry.

Responsibilities:

· Provide administrative support to ensure efficient operation of office and branches, such as preparing the Company’s holiday schedules, business hours and operation schedules

· Answer phone calls, schedule meetings and support visitors

· Assist in updating and maintaining business insurances, liquor licenses, contracts, registrations, and general business licenses for the Company, as well as existing and new branches

· Coordinate with local vendors to resolve office, warehouse facility, parking and other maintenance and facility cleaning issues

· Update, maintain, and coordinate a safety program based on OSHA and DOT programs

· Update and maintain leasing and/ or sales contracts for offices and Company autos, trucks, and equipment, etc.

· Ensure that the buildings and equipment are compliant with Health and Fire department regulations, and arrange and assist in regular inspections

· Update, manage, and facilitate the use of Company assets/ properties, including but not limited to autos, cell phones, equipment, etc.

· Manage auto accident and property damage claims and ensure correct reporting to appropriate vendors or parties

· Relieve receptionist during breaks and time off

· Create and maintain administrative documentations, records, and logs up-to-date; and provide clerical support to the department such as preparing office seating plans and telephone list, and preparing meeting minutes, etc.

· Handle internal and external requests and queries in a timely and appropriate manner

· Attend and support Company events and functions outside of normal working hours as required

· Order office supplies as requested by departments

Requirements

· High attention to details and multitasking

· Ability to work independently, prioritize and plan for work activities in a timely manner

· Be a good team player with ability to work cooperatively with others at all levels within the organization

· Ability to exhibit polite and professional communication via phone, e-mail, and mail

· Ability to adapt to frequent changes in assignments and workload

· Associate’s Degree or above required. Bachelor’s Degree in Administration or other relevant fields preferred

· 2+ years of experience in office administration preferred
