ROLE BRIEF

Spectrum.life are seeking a proactive and detail-oriented Project Administrator to join our team. The Project Administrator will play a crucial role in supporting programme/project managers in the successful execution of various projects within the organisation. The ideal candidate will possess excellent organisational and communication skills, and a passion for driving projects to completion efficiently and effectively.

RESPONSIBILITIES:

  • Project Coordination: Assist project managers in coordinating project activities, including scheduling meetings, preparing agendas, and maintaining project documentation.

  • Administrative Support: Provide administrative support to project teams, such as managing calendars, arranging travel, processing expenses, and handling correspondence.

  • Documentation Management: Maintain project documentation, including project plans, status reports, meeting minutes, and action items, ensuring accuracy and completeness.

  • Communication: Facilitate communication among project stakeholders, both internally and externally, ensuring timely dissemination of information and resolution of issues.

  • Resource Management: Assist in resource allocation and tracking, including monitoring project budgets, tracking expenses, and coordinating procurement of necessary resources.

  • Risk and Issue Tracking: Identify and track project risks and issues, escalating to project managers as needed and assisting in developing mitigation strategies.

  • Quality Assurance: Support quality assurance processes by assisting in the review and validation of project deliverables to ensure compliance with project requirements and standards.

  • Meeting Facilitation: Coordinate project meetings, workshops, and presentations, including scheduling, agenda preparation, and logistics management.

  • Team Collaboration: Foster a collaborative team environment by promoting open communication, sharing best practices, and supporting team members as needed.

  • Continuous Improvement: Contribute to the continuous improvement of project management processes and tools by providing feedback, suggesting enhancements, and participating in process improvement initiatives.

REQUIREMENTS:

  • Educated to bachelor's degree level.

  • 2+ years proven experience in project coordination or administrative support, preferably in a mid-size high growth company or similar environment.

  • Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.

  • Strong attention to detail and accuracy in work output.

  • Exceptional communication skills, both verbal and written, with the ability to interact effectively with stakeholders at all levels.

  • Proficiency in project management tools and software, such as Monday.com or similar.

  • Ability to work independently and as part of a collaborative team.

  • Strong problem-solving skills and a proactive approach to addressing challenges.

  • Flexibility and adaptability to changing priorities and deadlines.

  • Experience working in a healthcare environment an advantage.
