Job Description

Purpose: The Executive Administrative Assistant to the Assistant

Superintendent/Teaching & Learning provides office and clerical

support to assist with the efficient operation of the school district. To

accomplish these tasks the Executive Administrative Assistant to the

Assistant Superintendent/Teaching & Learning works closely with the

staff and administration of Derby Public Schools.

Responsible to: Assistant Superintendent/Teaching & Learning

Salary: District Clerical Hourly Rate Schedule, Level 6

Classification of Employment: Non-Exempt

Date: July 2023

Qualifications:

1. High school diploma or equivalent.

2. Clerical experience preferred.

3. Demonstrated typing and filing skills.

4. Experience in using various computers and computer programs.

5. Desire to continue career improvement.

Essential Functions:

1. Knowledge, Skill and Abilities

a. Provide office and clerical support to assist with the efficient operation of

the school district.

b. Ensure that all activities conform to district guidelines.

c. Communicate effectively with all members of the school district and

community.

d. React to change productively and handle other tasks as assigned.

e. Appropriately operate all equipment as required.

f. Support the value of an education.

g. Support the philosophy and mission of Derby Public Schools.

h. Comply with all district policies, rules, and regulations.

2. Physical Requirements/Environmental Conditions

a. Requires the ability to sit or stand for prolonged periods.

b. Occasionally requires the ability to manually move, lift, carry, pull or push

heavy objects or materials.

c. Occasionally requires the ability to stoop, bend and reach.

d. Must be able to work in noisy and crowded environments.

e. Requires regular attendance and/or physical presence at the job.

General Responsibilities:

1. Screen visitors and telephone calls, directing them to the appropriate

person/department.

2. Screen and route incoming mail.

3. Compose, type, and copy correspondence, reports, bulletins, records and other

materials.

4. Obtain, gather and organize pertinent data as needed.

5. Take and transcribe oral dictation.

6. Maintain an orderly filing system.

7. Schedule appointments, make travel arrangements and assemble material for

meetings.

8. Assist in planning meeting agendas and assist in preparing meeting summaries.

9. Supervise assistants and assist in training new employees.

10. Place orders for materials, verify quantities delivered and distribute to staff.

11. Maintain record keeping, purchasing and reports for all grants.

12. Order, distribute and return assessment materials.

13. Norm-referenced data assessment management.

14. Submit purchase orders for textbooks and consumable materials.

15. Submit purchase orders for Educational Support Center including Make It Take It,

Central Copy, Library Services and general office.

16. Support staff for curriculum development and material review.

17. Distribution of relevant research.

18. Provide secretarial support to Instructional Coordinators.

19. Prepare monthly brochure and weekly reminders for Teacher Training

Opportunities.

20. Compile evaluations for all workshops.

21. Organize Summer Academy in-service including proposals, catalog, registration,

purchasing, room planning, and materials.

22. Assist with filling textbook orders.

23. Assist with Make it Take it as needed.

24. Assist with Central Copy as needed.

25. Work and understand student data system.

26. K eep abreast of new information, innovative ideas and techniques.

27. Adhere to all district health and safety policies.

28. Other duties as assigned by the Assistant Superintendent/Teaching & Learning,

which are consistent with the general requirements and qualifications for the

position.
